What You'll Do
1. Booking Coordination (Before Service Starts)
Review and manage all Dineplan bookings for the day.
Allocate tables, flag special requests, and prevent overlapping bookings.
Communicate closely-timed bookings to the FOH team so transitions run smoothly.
Ensure reservation tiles are clean, stocked, and ready.
Write out bookings for breakfast and lunch first, with afternoon and dinner to follow.
2. Reservation Tile Management
Prepare tiles for every booking with name, time, table number, and covers.
Add optional celebratory notes (e.g., Happy Birthday*), avoiding personal comments. Remove and neatly store tiles once guests are seated.
3. Work Phone & Reservation Handling
Answer calls promptly -- or call back as soon as possible.
Take bookings correctly in Dineplan, confirming all guest details.
When fully booked, offer alternative times and explain capacity limitations professionally.
Ensure table allocations are balanced and no section is overloaded.
4. Guest Greeting & Welcoming
Be the warm, confident first point of contact.
Maintain open, inviting body language -- even when busy.
Guide guests to available seating and explain our reservation process.
Stay calm and composed during busy periods.
5. Table Management
Inform guests of time limits when the table is rebooked.
Notify servers when guests are seated and pass along important notes (special occasions, allergies, drinks already ordered, etc.).
Assist with clearing and resetting tables during slower moments.
6. Problem Solving
Handle customer concerns with confidence and care.
Find solutions where possible -- and know when to escalate to a manager.
Balance guest requests with the overall flow and quality of service.
7. Teamwork, Training & Growth
Support and communicate effectively with the FOH team.
Attend training sessions to continuously expand your skills.
Contribute to Aegir's culture of teamwork, consistency, and genuine hospitality.
