Jordan Wine Estate is seeking a motivated, organised, and service-focused Reservations & Office Administrator. This hybrid role is ideal for someone who enjoys both guest-facing hospitality and administrative work across HR, Skills Development, Employment Equity, and Health & Safety.
Day to day duties of the Reservations Assistant role will include but are not limited to:
The Cellar Door & The Jordan Restaurant reservations:
o Answer the phone and email requests in a professional and timeously manner.
o Manage guest bookings on Dineplan, send deposit requests.
o Ensure that The Cellar Door team is updated constantly on booking movements.
o Assist with hosting at The Cellar Door when needed.
Jordan Luxury Suites reservations:
o Correspond with guests, booking platforms and agents to collect as much information as possible on guests.
o Manage deposits and payments of stays.
o Upsell other offerings on the Estate.
o Understand Stellenbosch area to recommend dining and wine tasting recommendations to guests.
o Collect CRM notes and apply when guests return.
Day to day duties of the Office Administrator role will include but are not limited to:
HR related duties:
o Assisting and helping with both wage and salary payroll processes.
o All the administration of registers and leave forms such as gathering each department's registers weekly to check the leave forms.
o Assisting with payroll related schedules for contributions and deductions.
o Folding payslips
o Spot checking registers to ensure that registers are accurate and correct.
o Validating payroll records such as leave forms of staff.
o Responsible for all aspects of the administration of the employee lifecycle from onboarding to exiting employees.
o Posting job adverts.
o Calling candidates for information and scheduling interviews.
o Reference checks.
o Draft contracts for new employees
o Provide UI19, certificate of service and reference letters.
o Conduct exit interviews and return certificates attained during employment.
o Run and maintain staff milestones and celebrations
o Filing of employee records
Employment Equity:
o Attended bi-monthly meeting and be the liaison between Jordan and Consultant on EE matters.
o Implement policies and procedures to comply with EE standards.
Skills development:
o File Training registers and keep record of invoices
o Assist with compiling information for Skills returns
Health & Safety (OHSA):
o Schedule H&S meetings and minute for action plan.
o Book training for all departments, First Aiders, Fire Fighters and H&S Representatives.
o Ensure H&S reps deliver H&S registers and action items missing in checklists
o Check First Aid boxes.
Day to day duties of the Office Administrator (FILL IN POSITION, ONLY WHEN THE OFFICE ADMINISTRATOR IS ON LEAVE) will include but are not limited to:
o Perform tasks relating to receipt, processing and recording of orders on Pastel; customer queries; proof of delivery; invoices; and statement requests.
o Carry out clerical duties such as answering phone calls, responding to emails and directing customers to the correct department.
o Answer the switchboard in a professional manner and direct all calls to the relevant person.
o Correctly file all suppliers for easy accessibility when an enquiry is received.
o Take weekly minutes for all staff meetings recorded on Word and send to all departments.
