Our client, a prestigious luxury wine estate, is seeking a skilled Reservations & Events Co-Ordinator to manage all accommodation, fine-dining restaurant bookings, and estate event coordination. This is a dynamic, guest-focused role for someone who thrives in a high-end hospitality environment.
Description
As the Reservations & Events Co-Ordinator, you will play a pivotal role in delivering exceptional guest experiences by overseeing all aspects of reservations for both the estates luxurious accommodation and its exclusive fine-dining restaurant. You will also manage the full event coordination process for in-house functions and private estate events.
Key Responsibilities:
Reservations

  • Manage all incoming booking inquiries via email, phone, and digital platforms
  • Maintain full knowledge of all pricing, packages, and rates
  • Ensure reservation systems are accurate, up to date, and efficiently managed
  • Confirm daily bookings and provisional reservations, releasing expired holds
  • Attend to special guest requests, dietary needs, and special occasions
Restaurant Bookings (Fine Dining Venue)
  • Handle all restaurant reservations, including follow-up confirmation calls
  • Liaise closely with front-of-house and kitchen teams to ensure guest expectations are met
Estate Events
  • Coordinate all estate event logistics, menus, and communications
  • Finalize menus with the Head Chef and F&B Manager
  • Manage all pre-event planning, correspondence, and on-site inspections
  • Host client site visits and ensure seamless coordination from planning to execution
Minimum Requirements
  • Minimum of 23 years experience in a similar luxury hospitality reservations or events role
  • Strong administrative and coordination skills with exceptional attention to detail
  • Knowledge of booking systems and hospitality software (e.g., OPERA, ResDiary, or similar)
  • Professional communication skills and a passion for service excellence
  • Ability to manage multiple tasks and deadlines in a high-pressure environment
  • Well-groomed and confident with a polished guest-relations manner
  • Flexible to work occasional weekends and evenings during events
