Job Description

The Reservations Consultant will be responsible for processing enquiries and bookings with precision and professionalism, ensuring seamless communication between departments and delivering exceptional guest service at every touchpoint. This role requires a structured, service-oriented individual who is comfortable handling group reservations, managing provisional bookings, optimising revenue opportunities, and maintaining strict administrative accuracy in line with luxury hospitality standards.



Key Responsibilities:



Respond to all reservation enquiries, phone calls, and emails promptly and professionally



Accurately process and manage group reservations and provisional bookings



Ensure all guest details, confirmations, rates, deposits, and special requests are correctly recorded



Administer bookings through the PMS with complete accuracy



Maintain organised booking records, guest history and statistical tracking



Check daily arrivals and ensure all upcoming bookings are fully confirmed



Maximise revenue through effective upselling and strict adherence to cancellation policies



Remain knowledgeable on all room types, rates, facilities, promotions, and booking channels



Communicate booking updates and guest information to Operations, Sales, and Front Office



Support pre-bookings for dining, spa, and other estate facilities



Build and maintain strong relationships with guests, travel partners, and agents



Uphold service excellence at all times and assist with general departmental duties when required

Matric



Hospitality, Travel or Tourism diploma is advantageous



2-3 years' experience in a reservations role, ideally within a luxury or 5-star environment



Strong knowledge of PMS systems



Excellent command of English; additional languages beneficial



Strong sales skills and customer-focused mindset



Experience with FIT, group bookings, and international/domestic travel



Confident working with OTAs and third-party platforms



Excellent written and verbal communication skills



Strong administrative, organisational, and accuracy skills



Ability to work under pressure in a fast-paced luxury environment



Availability to work shifts, weekends, and public holidays on a rotational basis
