Our client is a premier country estate in Pretoria, offering luxury accommodation, fine dining, and exceptional guest experiences. We are seeking a professional Reservationist to manage guest bookings, enhance occupancy, and ensure a seamless reservation experience for every visitor.
Position Overview
The Reservationist is responsible for handling all guest inquiries and reservations across multiple channels, including phone, email, online booking platforms, and in-person. This role is key to maximizing hotel occupancy, revenue, and guest satisfaction while ensuring accuracy and attention to detail.
Description
Key Responsibilities
Reservation Management:

  • Manage incoming reservation requests via phone, email, online platforms, and in-person.
  • Confirm, update, and maintain accurate guest information, including arrival/departure dates, special requests, dietary requirements, and occasions.
  • Ensure all dining reservations are correctly logged on DinePlan.
  • Record spa bookings on Spalon and verify daily schedules.
  • Monitor room inventory on the PMS system to avoid overbooking while maximizing occupancy.
  • Coordinate with Front Office and Housekeeping to align guest expectations and room availability.
  • Prepare picnic menus and ensure delivery details are shared with the chef at least 8 hours prior to arrival.
Customer Service:
  • Provide courteous and professional service to all guests.
  • Answer questions about rooms, rates, amenities, packages, promotions, and hotel services.
  • Handle special requests such as early check-ins, late check-outs, accessible rooms, and group bookings.
  • Resolve reservation discrepancies promptly.
  • Maintain up-to-date knowledge of hotel services, promotions, and local attractions to assist guests effectively.
Flexible to work long hours, weekends, and peak periods as required.
Minimum Requirements
Required Knowledge & Skills
  • High school diploma or equivalent; Bachelor's degree in Hospitality Management or related field is a plus.
  • 1-2 years of experience in reservations, front desk, or customer service within the hospitality industry preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational, time-management, and multitasking abilities.
  • High level of attention to detail and accuracy.
  • Ability to remain calm and courteous under pressure.
  • Multilingual abilities are advantageous.
  • Familiarity with 4-star or luxury hotel standards and delivering exceptional guest experiences.
  • Professional, trustworthy, and guest-focused.
  • Team player with a proactive approach.
