Key Responsibilities:



Coordinate rental management operations between stakeholders: agency, landlords, tenants, and contractors. Ensure professional and timely

client communication

and service excellence, ensuring a client-centric experience at every touchpoint. Support

property marketing

, mandate acquisition, and digital listing processes. Administer

tenant sourcing, screening

, and lease administration with precision and compliance with full legal compliance. Manage

rental collections

, track arrears, and process

payment disbursements

to landlords and service providers. Facilitate and follow up on

property maintenance

requests to resolution. Maintain accurate administrative records and ensure adherence to policies and property laws.

1. Rental Administration



a. Provide Lightstone report & competitive market analysis report to Agents.

b. Management of Lease agreements(validations & renewals).

c. Open Physical property File.

d. Create Property on Property listing working sheet.

e. Book Viewings for Agents with viewings feedback.

f. Manage Agents Calendar on all activities.

2. Maintenance



a. Log Maintenance query on control sheet and update.

b. Advise owners, agents and Ops manager of maintenance queries.

c. Source quotations from service providers & keep parties udated.

d. Source 3 quotations from service providers.

e. Get sign off on quotation from Ops manager/ owner & liaise with service provider for commencement.

3. Collections



a. Source Utility Costs from municipalities & Body Corporates for monthly billing.

b. Compile additional expenses to rental Invoices monthly per tenant.

c. Capture utility Bills on invoicing system, Billing sheet and owner statement.

d. Send out invoices to Tenants with receipt confirmations.

e. Update rental collections & Collect overdue rent

4. Reporting



a. Weekly report on collections status

b. Weekly report on Maintenance

c. Monthly report on terminations, Lease renewals & new Tenants

d. Weekly reporting on Listings Activity, Enquiries & viewings per property

5.

Marketing



a. List Property on property 24, social media and Website.

b. Validate Listed Property integrity.

Requirements:



Proven experience in real estate administration or rental management.

Strong communication and organizational skills.

Proficiency in property management software and Microsoft Office Suite.

Ability to multitask and manage priorities in a fast-paced environment.

Knowledge of South African rental laws and Johannesburg property market is advantageous.
