Overview



Are you an organised and adaptable administrator with a passion for supporting elder care services?
CPOA is currently seeking a

Relief Administrator

to support operations across our residential care facilities. This full-time role is based at our

Head Office in Newlands

, but

requires regular travel between various facilities

within Cape Town.

As a key support to the Manager and Head Office team, you will play a vital role in maintaining efficient administration, reception services, financial controls, and operational coordination -- helping ensure the smooth running of our homes and a professional front-office experience for residents, staff, and visitors.

Key Responsibilities:



Administration & Office Management



Ensure the effective day-to-day administration of each assigned facility. Maintain accurate and up-to-date records for staff, residents, and stock. Prepare and submit required documentation and returns to Head Office. Keep procedural manuals and reception boards current.

Cash & Credit Control



Administer and reconcile petty cash and resident pocket money. Process daily banking and record all financial transactions. Follow up on outstanding payments and assist with resident account updates.

Reception & Communication



Provide efficient and professional reception services at each facility. Answer and route phone calls, manage visitor access, and handle mail distribution. Receive and distribute resident items appropriately.

Resident Admissions & Support



Support administrative processes for new resident admissions and discharges. Assist with the coordination of Open Days and other events.

Reporting & Record Keeping



Submit reports such as staff changes, attendance, food stock, and consumption. Maintain asset registers and complete stock counts and write-offs.

Purchasing & Maintenance



Liaise with Head Office regarding orders and maintenance requests. Track requisition forms and follow up on outstanding issues.

Staff & Meeting Support



Maintain staff leave and attendance records. Take minutes at staff meetings and assist in communication processes.

General Operational Support



Oversee the distribution of cleaning materials. Assist with menu boards, consumption reports, and creditor documentation. Support in organising facility functions and events.

What We're Looking For:



Minimum of 2-3 years of experience in an administrative role (preferably in healthcare or residential care environments). Strong organisational, multitasking, and problem-solving skills. Proficiency in Microsoft Office Suite (Excel, Word, Outlook). Excellent written and verbal communication skills. Reliable, professional, and able to maintain confidentiality.

Own vehicle and valid driver's licence is essential.

Willingness and ability to travel regularly between facilities. A compassionate, resident-focused mindset and a commitment to elder care values.
