Cape Town Wine Hub is seeking a Receptionist and Administrative Assistant who embodies professionalism, efficiency, and excellent multitasking abilities. This role is crucial for maintaining a smooth and productive office environment within a fast-paced, dynamic setting.
Key Responsibilities:
Greet and welcome visitors, ensuring they are directed appropriately.
Notify company personnel of visitor arrivals.
Maintain security and operate the telecommunications system.
Coordinate and manage meetings, including wine tastings, and assist with preparations such as coffee service.
Ensure the office area is clean, safe, and in compliance with all procedures and regulations.
Answer, screen, and forward incoming phone calls.
Manage stock control and monthly ordering of office stationery and consumables.
Oversee dispatch and receiving processes, adhering to established procedures.
Arrange couriers for orders and monitor timely deliveries.
File and organize documentation effectively.
Maintain stocked kitchen consumables on a daily basis.
Maintain records of unlabelled wine (e.g., pink cards) in accordance with SAWIS requirements.
Prepare and submit necessary documentation for wine movement, certification, and labelling (BG 5, BG 9, BG 11).
Coordinate sensory renewals and additional testing submissions.
Requirements:
Matric (Grade 12) and/or equivalent qualifications
Minimum of 2 years' experience in a similar administrative and/or receptionist role
Proficient in Microsoft Excel, email communication, and switchboard operations
Fully bilingual in English and Afrikaans (spoken and written)
Highly organized with strong time management skills
Excellent telephone etiquette and clear verbal communication
Professional, friendly, and approachable demeanor
Strong customer service orientation with the ability to handle difficult situations calmly.
Self-driven, proactive, and resourceful
Able to work well under pressure and manage multiple tasks efficiently
