Greet, welcome, and direct visitors professionally; notify relevant personnel of visitor arrivals.
Maintain and operate the plant's telecommunications and intercom systems.
Handle incoming calls, faxes, messages, and correspondence with accuracy and timeliness.
Receive, register, and guide visitors, ensuring they are accommodated courteously.
Ensure proper filing, laminating, and distribution of documents, letters, parcels, and company publicity materials.
Maintain up-to-date internal contact lists, staff business cards, and email signatures.
Coordinate and manage refreshments, including coffee, tea, and meals for visitors and staff.
Issue Personal Protective Equipment (PPE) to staff and visitors as required.
Maintain staff locker allocations and labeling .
Support other departments with administrative tasks as needed, including assisting the Health & Safety department with COVID-19-related administration.
Ensure constant workflow and adherence to company rules, regulations, and health & safety procedures.
Perform ad-hoc administrative functions within the scope of the role.
Minimum Requirements / Personal Attributes:
Matric (Grade 12) or equivalent qualification.
1-2 years' experience in a similar receptionist or administrative role.
Proficient in Microsoft Office (Word, Excel, Outlook).
Valid Code 8 driver's license.
Strong organizational skills and ability to prioritize tasks.
Fluent in English, both written and spoken.
Confident, proactive, and able to anticipate issues and requirements.
Team player with a professional and approachable demeanor .
