Job Summary:

Our client is seeking a friendly, organized, and professional receptionist to join their team. The ideal candidate will be the first point of contact for visitors and callers, providing excellent customer service and administrative support. The receptionist plays a crucial role in creating a positive impression of their accounting firm.

Responsibilities:

  • Greet Visitors: Welcome and assist visitors with a warm and friendly demeanor, ensuring they receive proper guidance.
  • Answer Calls: Professionally handle incoming calls, direct them to the appropriate person or department, and take accurate messages when necessary.
  • Provide Information: Offer information about the company, its services, and general inquiries to visitors and callers.
  • Manage Reception Area: Keep the reception area clean and organized, ensuring it reflects a professional image.
  • Mail and Packages: Receive, sort, and distribute incoming mail and packages, as well as prepare outgoing mail.
  • Administrative Support: Provide administrative support as needed, including data entry, filing, and document preparation.
  • Maintain Records: Maintain and update courier logs, phone directories, and other relevant records or inform the correct department that changes are needed once you become aware of it.
  • Multitasking: Handle multiple tasks simultaneously while maintaining a professional and courteous demeanor.
  • Accounts Mail account: Monitor and responds to client accounts queries (resending invoices, confirming if amount was received) or forward query to relevant billing partner.
  • Attention to detail: Raise invoices for 4 billing partners at month end on Caseware Time.
  • Creditors reconciliations.
  • Debt collection calls on ad hoc basis.
Requirements:
  • Education: High school diploma or equivalent; additional education or certification in office management or a related field is a plus.
  • Experience: Prior experience as a receptionist or in a customer-facing role is preferred.
  • Communication: Excellent verbal and written communication skills, including a polite and professional phone etiquette.
  • Customer Service: Strong customer service skills with the ability to remain calm and helpful in high-pressure situations.
  • Computer Skills: Proficiency in using office software (e.g., Microsoft Office Suite) and office equipment (e.g., photocopiers, printers).
Working Hours: 8am-17pm
