Duties and responsibilities
General Business Administration
F&B system administration on shift closure and end of day processes
New guest welcome calls , dietary requirements and directions
System (apex) memo updates
Respond to all allocated correspondence
Actions Bookings, payments
Update Club bookings and arrivals with the systems
Complete checklists
Restock curio shop and stock take
Refill all Tuck-shop Items and stock take
Stationery Orders and stock take
Staff accounts finalized
Facilitate stock take sheets
Apex administration including but not limited to Arrival and pax updates
Transferring club accommodation
Other department administration
Kitchen instruction updates
F&B Cash up administration and filing
Housekeeping - welcome note preparation
Ranger and activity updates
Banking
Sales report and end of day reports
Arrivals
Visible guest interaction.
Check-in procedures, preprinted registration forms and key checks.
Update system
Load any payments
Welcome drinks.
Departures
Deposit confirmation and refund
Action guest accounts
System updates and key collection
Deliveries
Maintenance Stock orders
Receive stock with department representative
Load all invoices on system and correspond with finance
File all invoices and delivery notes
Any and all other administrative, assistant and PA duties as allocated
Qualifications, Experience and Competencies
Grade 12
1-2- years relevant front of house or related experience
Apex experience would be beneficial
2 years solid customer service and administrative experience
Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Administration and Management - Knowledge of business and management principles involved in planning, resource allocation, leadership, and coordination of people and resources.
Public Safety and Security - Knowledge of relevant equipment, policies, procedures, and strategies to promote effective local, state, or national security operations for the protection of people, data, property, and institutions.
Time Management - Managing one's own time and the time of others.
Problem Sensitivity - The ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem, only recognizing there is a problem.
