Properties Office Administrator (centurion)

Job Description

Job Purpose: Administrative support for Properties Dept, handling ad-hoc office duties such as organizing files, maintaining electronic filing databases, tracking important deadlines, follow-up, filing and scanning of tenant leases, maintain and follow-up properties group email system, data-capturing for various spreadsheets (eg. 30-day suppliers, credit card expenses, maintenance labour and travel costs recoveries, meter readings + municipal recoveries)/ maintaining Job card system (MRI and Excel), follow-up city council queries, general ad-hoc duties.
Qualifications and or Experience:

  • Matric
  • Experience in property administration or general office administration / Basis Fundamentals of Accounting, Excel, Knowledge of MDA Property / MRI Property Central system is advantageous.
  • Proficiency in Excel, Word and email communication.
  • Good communication skills
  • Strong organizational and time-management skills (Ability to organize, plan and strategize)
  • Own transport
Responsibilities:
Finance Department Admin:
  • Follow-up, filing & scanning & emailing of tenant leases
  • Data capture of 30-day supplier spreadsheet
  • Data capture of credit card expenses spreadsheets
  • Data capture of maintenance labour & travel costs recoveries spreadsheet
  • Data capture of meter readings + municipal recovery spreadsheet
  • Maintain and follow up of properties group email system
  • Maintain electronic databases (property docs, supplier payment requisitions, etc.)
  • General filing
  • Ad-hoc duties
Maintenance Department Admin:
  • Responsible for co-ordination of tasks within the maintenance department
  • Planning and implementation of maintenance schedules
  • Processing, control and manage the full job card process on system
  • All maintenance and projects to be monitored and ensure that deadlines are met
  • Needs analysis
  • Continuous feedback to maintenance team and customers
  • Dealing with city councils with queries and general matters.
  • Ensure high level service levels are maintained through liaising with maintenance team
  • Responsible for maintaining properties documentation system
Position available for an Office Administrator. Must have: Matric, Experience in property administration or general office administration / Basis Fundamentals of Accounting, Excel, Knowledge of MDA Property / MRI Property Central system is advantageous.
