Project Coordinator / Project Management Assistant (Remote, Offshore)

Position Summary
We are seeking a highly organized and detail-oriented Project Coordinator / Project Management Assistant to support our Project Manager and Account Manager in delivering high-quality client projects for our interior design company. This role is communication-focused and fast-paced.
The ideal candidate excels in coordination, structure, and follow-through, and will play a key role in ensuring smooth client communication and seamless collaboration with our internal design team.
Key Responsibilities
Client Communication
Draft, send, and manage client-facing emails using templates or instructions
Maintain strong, professional communication with clients through timely updates
Prepare and send design boards, track approvals, and follow up on outstanding items
Project Coordination
Work closely with the Project Manager to ensure smooth project execution, following direction on priorities, communication, and deliverables
Support the design team through all phases of multiple projects, from discovery and concept development to installation and post-install
Attend client and internal team meetings as needed, relay relevant information, and prepare clear, actionable tasks
Communicate and collaborate effectively with cross-functional teams at all levels
Track project progress, monitor deadlines, and follow up with team members on outstanding items
Maintain organized project documentation and ensure all files and project assets remain up to date
Operational & Managerial Support
Manage scheduling, reminders, and daily priorities for the Project Manager
Assist with light administrative tasks, including tracking hours, internal reminders, and documentation
Support process consistency to ensure smooth and high-quality project execution
Requirements & Qualifications
Excellent written English with strong clarity and communication skills
Exceptional organizational abilities and strong attention to detail
Ability to work effectively in a fast-paced environment with daily direction and shifting priorities
Proactive mindset with confidence to ask clear questions when needed
Experience in project coordination, client communication, or executive assistance (preferred)
Experience within a design firm is an asset; interior design experience preferred but not required
Proficiency with Google applications (Drive, Docs, Sheets, Calendar)
Experience with Monday.com (project management platform) is an asset
Experience with Miro (digital collaboration and visual planning) is an asset
