Assist in developing project plans, timelines, and schedules
Monitor project progress and make updates as needed
Communication & Coordination
Act as a liaison between project teams, stakeholders, and external vendors
Organize and attend meetings, taking notes and following up on action items
Documentation & Reporting
Maintain and organize project documentation (e.g., contracts, schedules, deliverables)
Prepare status reports and dashboards for management or clients
Budget & Resource Tracking
Monitor project expenses and assist with budgeting
Track resource allocation and help ensure proper staffing
Issue & Risk Management
Identify and escalate potential project issues or delays
Help with risk assessment and mitigation strategies
Task Management
Assign and follow up on tasks with team members
Ensure project milestones and deadlines are met
Tool & Software Management
Use project management tools like MS Project, Asana, Trello, or Jira
Ensure data is accurately entered and maintained
Quality Control
Help ensure deliverables meet quality standards
Coordinate reviews, testing, and approval processes
Optional or Industry-Specific Duties
Depending on the industry (e.g., IT, construction, marketing), a project coordinator may also:
Manage technical documentation or system updates (IT)
Coordinate site visits and materials (Construction)
Handle creative briefs and content calendars (Marketing)
