Job Description

Our client in the Telecoms sector requires a Project Coordinator on a 12 months contract to; Responsibilities The Project Coordinator: Third-Party will be directly responsible for the following:

  • Initiate Programme and Project Kick-off meeting.
  • Formalize all orders with relevant third-party providers.
  • Define and communicate the governance and controls that will be applied for each project with the relevant third-party providers.
  • Work with the respective third-party vendors to develop relevant project plans for various orders.
  • Agree with third-party vendors the relevant stakeholders for each project.
  • Define and execute communication plans with the different third-party vendors and Clients’ stakeholders.
  • Manage the Project (using the Project Controls) and ensure governance operates as per the Project Organisation.
  • Report Projects Progress to the Project Sponsors (with recommendations for Risk Management and Issue Resolution) and to the Senior Programme Manager and or the Vendor Management Governance Board where relevant
  • Manage Risks for which s/he is identified as the Risk owner Resolve Issues for which s/he is identified as the Issue Owner.
  • Ensure that Project Reviews are carried out after each Project launch and that lessons learned are fed back into the Programme (where relevant) and disseminated to those who need to know.
  • Manage and coordinate all meetings both internally and externally.
  • Manage and control project timelines including revenue forecasting.
Key Deliverables The Project Coordinator: Third-Party will adhere to the following principles:
  • Order and track all third-party related connectivity services.
  • Compile and produce a Project Status Report at an agreed frequency (Weekly and Monthly is preferred) with each third-party provider.
  • Ensure the quality of reports and presentations produced are at a level suited for executive management level.
  • Assist with financial management of budgets for Third-Party services, assisting the Finance Admin with reconciliation of the accounts providing monthly reports.
  • Ensure accurate reporting and management of clients’ inventory and assets of the installed base for all third-party services.
  • Timely and effective Escalation requiring executive management intervention or support.
  • Serve as the interface between the customer facing teams and the technical teams during the implementation of new services by third-party vendors i.e., PMO, IS, Network, Customer Experience, Marketing, Sales, Product Development, Business, Wholesale, Regulatory and external parties (e.g., suppliers).
  • Produce (or manage the production of), support the approval of and (where appropriate) maintain the list of deliverables in the table below.
  • Demand forecast projection based on the project plans.
  • Assist in the continual improvement of delivery processes with all third-party providers using various tools such as Customer Satisfaction Surveys and Improvement Plans.
Project Coordinator: Third-Party is accountable and responsible for the following:
  • Third Party vendor project kick off meeting where applicable;
  • Weekly/Bi-Weekly status meetings to discuss all open orders;
  • Update the EP Form with Third Party projects milestones;
  • Capture circuit numbers into EP Form
Must Have:
  • The Project Coordinator: Third-Party will have at least 3-5 yeas in Telecommunications with knowledge and experience in Third-Party and Partner management.
  • Should be able to engage with the various areas of business such as Procurement, Finance, Account Teams and Service Management.
  • A project management certification from a recognised institution is imperative.
  • The Project Coordinator: Third-Party must be very familiar with ICT and Fixed Line technologies, concepts and terminologies.
