Main purpose of the job:
To provide administrative, operational, and project management support for clinical research activities across multiple projects within the Mycology Division
The role includes coordination of clinical site requirements and providing support to clinical study staff, along with oversight of procurement, financial administration, quality assurance, and stakeholder communication to ensure the smooth execution of clinical trials and public health research initiatives
Key performance areas:Key Project and Operational Support
Coordinate and oversee day-to-day operations of clinical research projects across multiple studies
Support implementation of study protocols and track progress against project milestones
Provide logistical support to site teams and assist in resolving operational challenges
Clinical Site Coordination
Liaise with clinical study staff to understand and meet site needs
Ensure timely delivery of study supplies and materials to clinical sites
Coordinate study initiation activities, including site readiness and investigator support
Administrative and Procurement Oversight
Oversee the administrative coordination of procurement processes, including sourcing, purchase requisitions, tracking orders, and vendor follow-ups
Ensure timely and cost-effective procurement of laboratory and study consumables in line with budgetary and compliance requirements
Maintain accurate records of procurement and support audit readiness
Financial and Grant Management
Monitor project budgets and expenditures across studies
Assist in preparation of financial reports and invoicing documentation
Liaise with finance and grants teams to ensure alignment with institutional policies
Quality and Compliance
Conduct or support internal quality checks to ensure adherence to GCP and SOPs
Assist in preparing for audits, maintaining essential regulatory and study documentation
Ensure ethical and regulatory compliance of all study-related activities
Documentation and Reporting
Maintain project documentation including protocols, ethics submissions, contracts, and reports
Coordinate updates and progress reports to investigators, partners, and funders as needed
Stakeholder Communication
Serve as a point of contact for project-related queries and updates
Support collaboration between internal teams, external partners, funders, and vendors
General Division Support
Provide broader administrative and operational support across the Mycology Division as required
Contribute to divisional planning, reporting, and coordination with central offices
Update of the Mycology Division website and upload of projects updated newsletter
Required minimum education and training
Bachelorxe2x80x99s degree in Health Sciences or related field
Certified in Good Clinical Practice (GCP)
Required minimum work experience
Minimum 2 yearsxe2x80x99 experience in clinical trials, research project coordination, or public health program implementation
Experience in project management, budget tracking, and procurement oversight within a research environment
Desirable additional education, work experience and personal abilities
Familiarity with regulatory and ethics processes in clinical research
