Role Purpose
Supports the programme team in the implementation of programmes and projects in compliance with British Council policies and procedures including financial admin, reporting and data collection, operational project delivery and managing relations with delivery partners.


Main accountabilities but not limited to the following:


Managing self and others

  • Holds vendors and suppliers to account for delivering services.
  • Has the ability to work independently and manage workload against project deadlines.



Financial Support

  • Plan and report on project financial plans and budget expenditure and forecasting to Programme Managers and Head of Programme Delivery; manage smaller budgets.
  • Maintain clear and up-to-date records on all financial transactions as per audit requirements.
  • Ensure relationships with vendors are maintained and payments are processed on time and in accordance with FABS online system (SAP Finance) guidelines.



Project Management

  • Responsible for data management including timely data entry, quality assurance of data, undertaking basic analysis of monitoring data, and developing progress reports to meet the needs of funders.
  • Supports internal compliance such as due diligence, records management, data collection and storage.
  • Supports grants administration, selection & evaluation, and procurement processes.



Relationship and Stakeholder Management

  • Support relationships with clients/partners/stakeholders at appropriate levels.
  • Support and co-ordinate relationship with vendors and suppliers and holds them to account for delivering services.


Financial Management:


Ensure that all financial transactions related to project activity are done to corporate standards:
  • To maintain programme budget monitoring spreadsheets.
  • To process, reconcile and record all financial transactions on delegated budgets.
  • To complete monthly cash flow forecasts for approval and to handle all procurements related to the projects in line with British Council policies and procedures



Role-specific knowledge and experience:
Essential requirements:

  • Matric certificate
  • Post-school qualification i.e a diploma or degree; absence of Project management as a qualification should be demonstrated through experience
  • Experience working in a supporting role on programmes or projects.
  • Administrative and financial administration experience.
  • Good understanding of basic concepts of monitoring and evaluation, and how they are central to good project management.



Desirable:
  • Relevant post-graduate or advanced qualification in project management (Prince 2 xe2x80xa2Foundation/PMD Pro,PMP)

Role-specific skills
  • Good knowledge of the Creative Sector in South Africa
  • Strong organizational skills and attention to detail.
  • Ability to work effectively with tight deadlines.
  • Demonstratable prior experience and working knowledge of project management, administration and communications.
