We are starting our recruitment process early for this position to ensure a strong candidate pool, as the Procurement Coordinator role is intended to commence in 2026
Summary: The Procurement Coordinator supports and coordinates end-to-end procurement activities to ensure efficient buying, supplier management, and inventory planning.
This role bridges operational procurement functions with strategic sourcing requirements and provides reliable support to the Procurement Manager and Supply Chain team.
Reports to: Procurement Manager
Location: Stikland, Cape Town
Schedule: Monday - Thursday, 08:00 - 16:30 | Friday 08:00 - 16:00
Salary: Market related and commensurate with experience
Responsibilities:
Procurement Operations & Buying

  • Coordinate the full procurement lifecycle from order placement to delivery.
  • Support supply and demand planning by reviewing forecasts, sales trends, and seasonal requirements.
  • Place and manage orders with local and international suppliers, ensuring accuracy and timely processing.
  • Maintain accurate purchase orders, pricing, units, and supplier terms.
  • Track orders and monitor ETAs to ensure on-time delivery.
  • Ensure compliance with international shipping requirements and documentation.
  • Liaise with freight forwarders, shipping agents, and logistics providers to troubleshoot delays.
  • Assist in identifying cost-saving opportunities and improving procurement efficiencies.
  • Support continuous improvement of procurement processes and systems.
Supplier Coordination
  • Build and maintain strong relationships with local and international suppliers.
  • Act as a reliable daily point of contact for supplier communications (queries, updates, confirmations).
  • Assist in evaluating supplier performance regarding delivery, cost, and quality.
  • Ensure supplier documentation, including SLAs and certifications, is kept updated and properly stored.
  • Support sourcing of new products or alternative suppliers where required.
Inventory & Stock Coordination
  • Coordinate incoming shipments and communicate arrival timelines with relevant departments.
  • Support inventory planning and stock optimization to reduce shortages and delays.
  • Ensure correct capturing of inventory data on the stock management system.
  • Assist in managing stock discrepancies, quality issues, and non-conformances.
  • Ensure accurate reconciliation of orders, delivery notes, and invoices.
  • Team Management
Reporting & Analysis
  • Prepare procurement reports on stock levels, order status, supplier performance, and lead times.
  • Analyze procurement and shipping trends to identify improvement opportunities.
  • Maintain accurate and up-to-date procurement records and documentation.
  • Support the Supply Chain Manager with data for decision-making (pricing comparisons, product performance, supplier history, etc.)

Requirements:
  • 4-5 years' experience in procurement, buying, sourcing, or supply chain coordination.
  • Relevant tertiary qualification in Procurement, Supply Chain, Logistics, or similar (advantageous but not required if experience is strong).
  • Experience working with international suppliers and shipping processes.
  • Proficiency on a stock management or ERP system (e.g., DEAR/Cin7, Syspro, etc.).
  • Strong administrative and organizational capabilities.
  • Strong understanding of international freight processes, documentation, and ETA tracking.
  • Experience in sourcing or buying catering/food-service equipment is advantageous.
  • Fluent in English (Afrikaans advantageous).
  • Valid South African driver's license and passport (advantageous).
