Procurement Assistant - Design & Architectural Firm - Cape Town

Our client, a respected name in the project and construction space, is looking for a Procurement Assistant to support its supply chain and procurement function. What You'll Be Doing:
? Procurement & Supply Chain Coordination

  • Oversee daily procurement activities and ensure alignment with company procedures.
  • Source goods and services at the right price, quality, and time to meet project and regulatory requirements.
  • Process and manage purchase orders using the ERP system.
  • Work closely with the supply chain manager and project managers to track and forecast procurement needs.
? Vendor & Contract Management
  • Manage supplier onboarding process and documentation.
  • Review and negotiate supplier contracts, and conduct annual supplier evaluations.
  • Develop and maintain supplier relationships; identify new suppliers and improve existing ones.
  • Maintain and update supplier lists, credit limits, and account statuses.
? Process Improvement & Reporting
  • Review and enhance procurement processes to ensure efficiency and compliance.
  • Analyze market and delivery trends to support strategic procurement decisions.
  • Provide benchmarking data and track supplier performance via reports and KPIs.
  • Design reporting tools to highlight cost savings, supplier performance, and procurement risks.
? Financial & Administrative Support
  • Reconcile 30-day supplier accounts.
  • Request and track quotes and invoices.
  • Actively monitor external factors affecting purchasing costs and supply chain dynamics.
  • Identify and recommend cost-saving opportunities in line with business goals.
? Governance & Compliance
  • Help define procurement policies and ensure their consistent application.
  • Maintain accurate procurement records and support audits and performance reviews.
What You Need to Succeed:
? Qualifications & Experience
  • Matric (essential)
  • 1-3 years' experience in procurement, supply chain, logistics or warehousing
  • Solid knowledge of procurement processes and systems
? Systems & Software
  • MS Office (Intermediate Excel skills essential)
  • Experience with ERP systems (Smartsuite is an advantage)
? Skills & Attributes
  • Strong organisational and administrative skills
  • Attention to detail with the ability to prioritise and manage multiple tasks
  • Effective communicator and confident dealing with suppliers
  • Analytical thinker with a problem-solving mindset
Decision-Making Authority
The Procurement Assistant will have the authority to:
  • Source quotes and produce purchase orders
  • Make procurement-related decisions in line with operational needs and company policy
Salary Market related depending on the Candidate: Up to R40 000 Gross
