P&L Representative Senior

Department Description and responsibilities:
"Fleet Area Support Teams " have been introduced in support of all vessels operating in different regions of the world (Africa, Europe, Middle East, India, Americas & Far East).
The P&L Representative (P&L Rep) is part of such team and shall work in close collaboration with other team members (Technical Support Engineer (TSE) and intervention supervisor) and will support the TSE in all matters related to the sourcing and contracting of local services, spare parts and consumables.
The Area Support Team is located in the respective regions with the TSE and P&L Rep residing where possible in the same offices. In Africa, this Fleet Area Support Team will be established in Dakar, Senegal.
Primary Tasks and responsibilities:
The P&L Rep provides procurement and logistics services in compliance with the clients Purchase & Logistics operating model, using Maximo and Ivalua systems. All activities must also adhere to the Fleet operating model for vessel procurement and logistics.
The P&L Rep will maintain a network of standard maritime service providers and suppliers in the region Ultimately and will facilitate, in close alignment with Central P&L:

• framework agreements with essential service providers, and
• standard terms with key suppliers, enabling quick procurement for urgent vessel requirements.

Procurement of services and supplies for vessels should be planned sufficiently early to allow them to be covered by Central Purchase &Logistics department in Belgium. If this is not feasible, the local P&L Rep will handle urgent vessel requirements:

• For non-complex, low-value items, the P&L Rep will execute sourcing and issue POs themselves.
• For complex or high-value items, the P&L Rep will facilitate timely local sourcing and POs through or in collaboration with central procurement.

Where necessary, the P&L Rep will go on local sourcing/procurement missions in the country where the vessel is operating.
The P&L Rep forms also part of the team of Local Procurement Representatives in the respective location. As such the P&L Rep shall leverage whenever possible the existing supply chain in the region and also take into account existing supplier relationships when sourcing and procuring any required services and spares and consumables for Fleet.
Vessel Emergencies are critical, either threatening safe operations or causing operational interruptions. This client has a specific workflow for these events and the associated procurement and logistics processes, including maximum lead times. The Fleet Area Support Team is the first point of contact for any Vessel Emergencies demand, and the P&L Rep, along with the TSE, is responsible for the timely ordering and delivery of any required services and/or supplies throughout the procurement process. For this, the P&L Rep must also collaborate with roles in Central Procurement & Logistics departments as needed to ensure adherence to the P&L operating model.
The Fleet Area Support Team is in principle available 24/7 as the first point of contact for Vessel Emergencies. The P&L Rep shall assure availability during daytime hours, including weekends. This will guarantee that:

• Any Fleet alignment meetings to resolve the emergency or incident can take place without delay,
• Sourcing decisions can be taken immediately (e.g., local vs central),
• The relevant supply chain can be contacted immediately,
• Alignment with the VPC and central procurement takes place immediately, where required,
• Last mile logistics support can be provided ad-hoc upon request

In case of temporary absence and/or unavailability of the P&L Rep, a proxy shall be nominated and communicated to all stakeholders.
For Vessel Emergencies, the P&L Rep will support last-mile logistics upon request.
Local procurement support to projects is given by the Local Procurement Representative (LPR).
The LPR is part of the project team and reports disciplinary to the Project Manager.
The LPR executes the sourcing and purchase of low value/non-critical items for the project and the vessels working on the project, in compliance with the clients Purchase & Logistics operating model and the Project Procurement Plan, using Maximo and Ivalua systems.
Internal users are coached to respect the procedures and systems (e.g. catalogues) as outlined in the Purchase & Logistics operating model and the Project Procurement Plan.
The LPR gives logistics support to to get the goods to the project/vessel ("last mile") from within the country or from abroad in collaboration with the Central Logistics Department.
He/she supports Finance Department to solve local invoice issues.

• Fleet P&L Representative for Africa -Responsible for operational support across multiple vessels in Africa.
• Acts in case of urgent procurement needs when safety, production, or vessel downtime is at risk.
• Collaborates closely with the TSE (Technical Superintendent Engineer) to identify and resolve critical issues.
• Buyer with Logistics Expertise
• Local procurement in Dakar for the project, in coordination with local buyers and partners such as Jan De Nul
• International sourcing: coordinates purchases outside Senegal (e.g. spare parts from Finland) and manages logistics (airway bill, customs clearance, Harmonized System codes).
• Ensures timely and proper delivery of goods to the vessel, using local transport (e.g. taxi) or international shipping.
• Should have knowledge of customs procedures and import codes, and know who within the client can assist with these (info provided by the client)

Language & Communication

• French English for internal communication.

• Based on site in Ndayane, Senegal
• Accommodation arranged by contractor him/herself (local person)
