As the Procurement Administrator, your duties could include the following:
Oversee the end-to-end purchase order process, from requisition through to delivery
Ensure all procurement activities are compliant, accurate, and completed within set timelines
Review purchase requisitions for appropriate approvals and required supporting documentation
Monitor and follow up on orders and shipments to ensure timely fulfilment
Liaise with suppliers and internal departments to coordinate store deliveries efficiently
Proactively resolve issues related to orders, invoices, or deliveries to prevent disruptions
Maintain and regularly update the supplier database
Support the tracking of supplier performance across key metrics such as pricing, quality, service, and delivery
Communicates order specifications, changes, and concerns clearly and professionally with suppliers
Build and maintain strong supplier relationships through regular engagement and service alignment
Assist in procurement negotiations to secure competitive pricing and favourable terms
Conduct regular stock counts and reconcile inventory records
Investigate inventory discrepancies and ensure compliance with audit and Fixed Asset Register (FAR) standards
Support stock rotation strategies and assist in minimizing stock obsolescence
Manage de-installed and maintenance-related stock effectively
Collaborate with Finance and Waste Management to streamline processes and ensure accountability
Work closely with Store Operations and Finance to forecast procurement requirements and maintain optimal stock levels
Accurately record all inventory movements and stock transactions
Coordinate with warehouse and store teams to ensure the proper and timely receipt of goods
Verify incoming deliveries against purchase orders and resolve any mismatches
Facilitate the return process for damaged or incorrect goods
Additional duties as required by management
Skills & Experience:
2-4 years of experience in procurement, purchasing, or inventory control role within a retail environment
Proven experience working on Procurement ERP systems
Qualification:
Completed Matric (Grade 12)
Relevant diploma in Supply Chain Management, Business Administration, Logistics or related field
Relevant procurement or inventory management certifications would be highly advantageous
