Portfolio Manager2025-04-29 - 2025-05-29PermanentCPT001873PropertyWestern Cape, StellenboschOur client based in Stellenbosch is seeking a Portfolio Manager to join their team.General overview of duties, but not limited to:Portfolio Administration:

  • General office Administration.
  • Portfolio Administration: Bodies Corporate, Home Owners Associations, and other community schemes.
  • Diary Management: Scheduling of appointments.
  • Attending Trustee and General Meetings.
  • Taking minutes.
  • Typing of minutes.
  • Submit minutes for review by Manager within 3 working days of meeting.
  • Attending to matters arising from meetings.
  • Assisting owners with queries.
  • Assisting trustees/Excom on matters applicable to scheme.
  • Meetings with Building Managers.
  • Cell-to-gate registrations of owners or there tenants.
  • Keep scheme information in Permanent Folder (on server) in a neat an organised fashion.
Communication:
  • Ensure an effective and professional communication strategy with trustees / owners.
  • Communication with all role players where required (legal /financial/Repairs & Maintenance).
  • Typing of all correspondence to owners on trustee instruction.
  • Follow-up on complaints and provide feedback to Trustees where required.
  • Notices of Trustees Meetings and Annual General Meetings and the Minutes thereof.
  • Timely distribution of notices and minutes.
  • Dealing with daily correspondence.
  • E-mail management (respond within 24-hours on emails).
  • Liaising between departments and Trustees.
  • Sending of communication through in-house systems and Portal.
Repairs & Maintenance:
  • Feedback to R&M Department after meetings on R&M matters.
  • Instruct R&M Department to Open job cards if necessary.
  • Liaise with R&M Department as necessary to arrange for access to Common Property, units or other.
  • Seek approval in Meetings from trustees/caretaker to pay completed R&M jobs.
  • Attend monthly site inspections with R&M.
  • Attend site meetings with trustees if required.
Accounting/ Financial:
  • Communicate with and give instructions to Finance Department after Meetings or as per Trustee instructions.
  • Submitting invoices for payments on Wednesdays.
General:
  • All duties within ambit and scope of Marites daily business.
  • Friendly, presentable, honest, hardworking, and people orientated.
  • Professional at all times.
