What will you do?

  • This position will primarily assist and report to the CEO, but it will but will also provide administrative support to other members of the Executive team
  • Professionally manage diaries, travel logistics (flights, cars, meetings etc.) for responsible executives
  • Manage and distribute Exco packs to prepare for all Executive committee meetings
  • Screen and direct calls / emails and distribute correspondence
  • Manage information flow in a timely and accurate manner and that includes the format of information for internal and external communication - [memos, emails, presentations, reports, and newsletters]
  • Managing active calendars of appointments
  • Managing the relevant invoices are approved and paid to all service providers
  • Completing expense reports i.e. company credit card, cell phone expenses
  • Scanning, filing and copying of information
  • Draft agendas and minute taking
  • Welcome visitors and arrange company dinners and appointments
  • Telephone and office administration
  • Prepare and edit reports, communication and presentations for executive, board, client, management, employee and service providers
  • Where relevant, deal with client queries in a professional and efficient manner
  • Ordering office supplies
  • Adhoc administrative duties as and when required
  • Arrange Offsite workshops/events and take notes

Qualifications and Experience
  • A minimum of 5 years' personal assistant experience at an executive level
  • Office Administration Diploma or equivalent
Knowledge and Skills
  • Own transport and Driver's License;
  • Excellent MS Office knowledge
  • Excellent verbal and written communication skills
  • Outstanding organizational and time management skills
