Function

We are seeking an enthusiastic and vibrant individual with a positive can-do attitude. Reporting to the General Manager and Director of Sales & Marketing, the successful incumbent will perform a dual role with general office duties to support the General Manager and Sales Department. The day-to-day duties include supporting the sales representatives, coordinating sales-related activities, contributing towards achieving sales targets, maintaining good customer relationships with excellent organizational, administrative and communication skills, to deliver high standards of customer service.

Requirements Experience & Qualifications
  • An appropriate recognized qualification would be advantageous
  • Two to Three yearsxe2x80x99 experience in a similar position or in a secretarial position
  • Professional disposition

Key Responsibilities

Communication

  • Telephonic cold calling to assist sales leaders
  • Talk with and listen to other employees to effectively exchange information.
  • Serve as a point of contact for clients and communicate with them by phone and email to respond to questions and requests

  • Actively listen and respond positively to guest questions, concerns, and requests using brand or property specific processes, to resolve issues
General Duties
  • Generating reports, collections details, coordinating clients & suppliers
  • Manage and maintain General Manager, Executive Committee, sales executives and managers schedules, appointments and travel arrangements
  • Assist General Manager and sales team by managing schedules, filing important documents and communicating relevant information
  • Monitor, screen, respond to and distribute incoming communications
  • Design, upload, extract and maintain customer databases
  • Record and distribute minutes of meetings for sales team and General Manager
  • Pull daily sales reports, productivity reports and block reports for sales team
  • Conduct research and collect data to prepare reports and documents
  • Coordinates necessary travel arrangements for sales team, General Manager, EXCO team and hotel
  • Coordinates necessary arrangements with vendors relating to sales
  • Ensure the adequacy of sales-related equipment or material are available at all times
  • Responsible for purchase order process
  • Coordinate, compile and reconcile monthly expense claims, as well as travel expense claims for Director of Sales & Marketing and General Manager
  • Handle the processing of all stock orders with accuracy and timelines on a daily basis
  • Responsible for the monthly payroll process
  • Compiling of ESS data/reports and communicating results to all hotel departments
  • Assist in the preparation and organizing of promotional material or events
  • To complete additional tasks as and where directed by Director of Sales & Marketing and General Manager
  • Complete all daily duties as set out in departmental duties as per operational requirements
  • Prepare gifting for VIP guests/clients requested by sales and convention sales department, and coordinate with guest service department for execution
  • Able and confident to conduct full property site inspection
