Requirements

  • Diploma / NQF level 6 in Office Administration or relevant qualification
  • 3 to 5 years experience as an Executive Assistant
  • Advantageous-previously assisted HRD
Responsibilities
  • Create and manage the calendar for the financial year.
  • Schedule meetings in all relevant stakeholders' diaries and co-ordinate the logistics of the meetings, including catering, travel arrangements, accommodation etc.
  • Assist line manager with the management of their diary and availability to attend meetings
  • Prepare pre-read packs and collate all information in a timeously matter
  • Take minutes of meetings and consolidate summary of actions in a report
  • Manage routine office tasks such as administration, filing, invoicing, stationery and other day-to-day support services
  • Escalate urgent matters to relevant stakeholders and follow-up to provide feedback to line manager
  • Ensure that all clients are treated professionally and with courtesy
  • Efficient and effective conveying of information to clients within scope of control
  • Directing and management of all queries to the relevant person so as to ensure that clients have a positive impression of the firm
  • Ensure that all logistical arrangements are adhered to with regard to meetings e.g., booking of venues, preparation of meeting packs, catering etc.
