Diploma / NQF level 6 in Office Administration or relevant qualification
3 to 5 years experience as an Executive Assistant
Advantageous-previously assisted HRD
Responsibilities
Create and manage the calendar for the financial year.
Schedule meetings in all relevant stakeholders' diaries and co-ordinate the logistics of the meetings, including catering, travel arrangements, accommodation etc.
Assist line manager with the management of their diary and availability to attend meetings
Prepare pre-read packs and collate all information in a timeously matter
Take minutes of meetings and consolidate summary of actions in a report
Manage routine office tasks such as administration, filing, invoicing, stationery and other day-to-day support services
Escalate urgent matters to relevant stakeholders and follow-up to provide feedback to line manager
Ensure that all clients are treated professionally and with courtesy
Efficient and effective conveying of information to clients within scope of control
Directing and management of all queries to the relevant person so as to ensure that clients have a positive impression of the firm
Ensure that all logistical arrangements are adhered to with regard to meetings e.g., booking of venues, preparation of meeting packs, catering etc.
