People (hr) Administrator

Job Description

The People Administrator will provide an essential administrative support to the People department, ensuring that all employee data is accurate, personnel files are compliant, and the day-to-day "life cycle" tasks from onboarding to offboarding run smoothly. Furthermore, the incumbent will provide advice, guidance and support to line management within the sites and central office of their HR responsibility.


Contracting



Prepare offer letters, contracts of employment and various addendum letters, etc. Assist and manage the opening of new files for employees and ensuring good filing system for employee personal files. Checking and tracking records of all fixed term contracts and maternity leave reports from the centres and liaising with Centre Administrators on any discrepancies and queries.

Employee Benefit Management:



Onboard new employees onto the group medical and/or insurance benefit. Terminating existing employees from the company group benefit. Assisting employees with any changes related to their medical benefit. Reconciliation of all 3rd party benefits including Discovery and Momentum. Ensure there are no administrative errors (e.g., incorrect deductions, missed enrollments).

Payroll



Payroll is updated on time with all monthly changes. Final changes are communicated to all affected employees in time. Follow up with Centre Administrators on outstanding documents of new staff engagements. Ensure all required documents are received on time, and in good order as per the file audit checklist. Respond to employee queries regarding HR policies, procedures, and benefits. Ensure that all consultancy invoices are submitted to finance on time for payments.

Onboarding and Offboarding:



Coordinate pre-boarding activities including offer letters, background checks, and new hire documentation. Prepare on boarding schedules and ensure equipment, system access, and workspace are ready before start dates. Serve as the primary point of contact for new employees during their onboarding period. Collaborate with IT, Payroll, Facilities, and other departments to ensure smooth integration. Coordinate off boarding processes including exit interviews, final pay check processing, and benefits termination. Ensure return of company property, deactivation of system access, and proper documentation. Capture employee feedback during exit interviews and report insights to HR leadership.

Reporting:



Ensure that leave reports are pulled and audited on a monthly basis. Ensure that the Fixed Term Report is managed monthly and line managers informed on end dates. Monthly stats reporting of new engagement and terminations. Maintaining a file audit report checklist in accordance to our operating standard procedure.

Qualification and Experience:



Matric (Grade 12). Degree/ Diploma in Human Resource Management or equivalent. 2-3 years' experience as an HR Administrator or Coordinator.

Required Skills:



Understanding theoretical and practical implementation of HR related policies. Excellent organisational and administrative skills, with the ability to prioritise and juggle a busy workload Ability to demonstrate Knowledge and understanding of Labour Legislation (BCEA/ LRA/ B-BBEE, and so on.) Interpersonal and leadership skills. Computer Literate. Good written and verbal communication. Ability to work under pressure. Prioritize workload and meet deadlines. Good attention to detail. Ability to work independently.
