Job Description

Position Summary



Responsible for ensuring accurate and timely payroll processing, maintaining employee records, and ensuring compliance with statutory regulations.

Essential Duties and Responsibilities



Payroll Administration



Collect, process and verify payroll data (e.g. hours worked, changes in employment status, allowances, overtime, bonuses).

Manage the overall workflow with our outsourced payroll provider, ensuring efficiency.

Oversee the calculation and processing of earnings, deductions, allowances, and benefits, including medical insurance, retirement fund, and statutory deductions

Ensure accuracy, compliance, and timely execution of all payroll runs.

Employee Information Maintenance



Maintain and update accurate employee information in the payroll system (e.g., new hires, terminations, changes to salary, bank details, personal information, etc.).

Ensure all employee records are compliant with relevant labour laws and are securely stored and easily accessible.

Collaborate with HR to ensure all employee data is aligned with HR policies and accurately reflected in payroll processing.

Assist in the onboarding process for new employees and termination process, ensuring that all necessary forms are completed and understood.

Support the HR Team with guidance, training, and problem-solving where required

Compliance and Reporting



Ensure statutory compliance with all South African payroll-related laws and regulations

Prepare and submit all statutory returns and reconciliations within deadlines, liaising with SARS and Department of Labour as needed (PAYE, UIF, WCA, COIDA, EMP201, EMP501, IRP5)

Generate payroll reports as required by management for decision-making, tax purposes, and audits.

Address and resolve payroll and leave balance queries and discrepancies timeously.

Record Keeping and Administration



Maintain accurate and organised payroll records and reporting, safeguarding confidentiality in line with POPIA and other regulations

Handle SARS queries, verifications, and audits, ensuring efficient resolution and preventing penalties or non-compliance

Perform internal audits on payroll data and assist external auditors with data requests.

Participate and collaborate with management on process improvements and optimisation

Education Requirements



(NQF4) Matric or equivalent qualification a Diploma in Human Resources, Finance, Accounting, Business Administration, or a related field is advantageous

Experience Requirements



3 years' experience in Payroll Administration, with tax submissions and recons, both EMP201 & EMP501.

Experience with benefits processing and 3rd party payments - provident fund, medical aid, business expenses.

Experience in remuneration structures, bonuses, incentives and rewards.

Experience with Time and Attendance Systems.

Employee self-service portals experience.

Strong knowledge of payroll and tax regulations and compliance.

Computer literacy:

Proficiency in MS Office, with advanced Excel. Sage 300 People payroll processing is advantageous
