Job Description

This role plays a vital part in ensuring employees are paid correctly and that payroll operations meet all regulatory standards. The Payroll Officer will also support the business with payroll reporting, audits, and compliance-related tasks.
Responsibilities:
Payroll Processing & Accuracy:

  • Process fortnightly wages and monthly salaries accurately and on schedule.
  • Review and verify all payroll output before final authorisation by the Payroll Manager.
  • Process all third-party payments, including legal garnishees and union subscriptions.
  • Prepare and process all salary increases and incentive payments.
  • Prepare and electronically send payslips to employees.
  • Manage full leave administration, ensuring accurate tracking and processing.
  • Process Electronic Funds Transfers (EFTs) for any ad-hoc payments.
  • Prepare monthly leave pay and bonus provisions
Compliance & Reporting:
  • Ensure the company adheres to all current legislative payroll requirements and stays updated on changes.
  • Implement and maintain robust payroll procedures, processes, and policies.
  • Ensure internal controls are consistently in place and effective.
  • Ensure accurate and timely processing of IRP5s and relevant reconciliations.
  • Prepare and submit WCA (Workmen's Compensation Act) returns.
  • Respond to requests for information from SARS (South African Revenue Service)
Administrative Tasks:
  • Perform all necessary administrative tasks related to payroll.
  • Compile documentation and AODs (Acknowledgements of Debt) for staff loans, facilitating approval by the Payroll Manager.
  • Design and generate various reports using People 300 reporting tools.
  • Provide ad-hoc reports to the HR Executive, including information for wage negotiations and Employment Equity.
  • Assist auditors as required.
  • Administer any UI.19 and other related documentation requests to and from the Department of Labour
  • Administer all documentation to Unions and Bargaining Councils for staff who are members.
System and Data Management:
  • Maintain optimal data integrity of all employee information within People 300.
Third-Party Payments & Reconciliation:
  • Process and authorise month-end payments and related reconciliations.
  • Responsible for managing the accuracy of leave on People 300, ensuring compliance.
Auditing & Support:
  • Provide comprehensive assistance to auditors as required during external audits.
  • Provide ad-hoc payroll-related reports to the HR Executive as needed for strategic planning and decision-making.
Ad-hoc Tasks:
  • Undertake any additional reasonable requests from management, including active participation in specific projects as and when needed to support departmental and organisational objectives.
Requirements:
  • Human Resources or Payroll Qualification
  • 5-6 years of proven payroll administration experience, ideally within a large, fast-paced company environment.
  • Excellent knowledge of payroll administration legal requirements and tax regulations.
  • Must have Sage 300 experience
  • Time & Attendance Systems experience.
  • Advanced Microsoft Office and Excel skills.
  • Minimum 2 years of experience with VIP Payroll Software and 1 year with People 300.
  • Comfortable working with numbers and strong reconciliation skills.
