Key Responsibilities:

1. Payroll:

  • Maintain and update salary lists, schedules, and payroll records for new hires, resignations, and other changes on a monthly/weekly basis.
  • Execute fortnightly/monthly payroll processes, including report updates, checks, and reconciliations.
  • Submit payroll reconciliations, queries, and reports to the Group Financial Manager accurately and in a timely manner for payments and reporting purposes.
  • Process annual increases and bonus payments.
  • Manage various financial compensations and deductions such as casuals, staff loans, commissions, etc.
  • Address payroll-related queries, including those related to SARS, leave, and salary administration.
  • Oversee leave management.
  • Submit SARS EMP501 bi-annual and annual submissions.
  • Maintain accurate payroll and employee records by ensuring timely filing of all documents.
  • Administer pension fund, provident fund, and medical insurance schedules.
  • Handle quarterly STATSSA reporting.
2. HR Administration Assistance:
  • Maintain comprehensive employee records in both physical and digital formats, ensuring compliance with all employment requirements.
  • Facilitate a paperless environment by filing and scanning employee documentation.
  • Keep pension fund, provident fund, and medical insurance documentation up to date.
  • Prepare induction documentation for new employees.
  • Assist with the onboarding process.
  • Undertake ad-hoc HR functions as required.
Qualifications and Skills:
  • A financial or analytical degree is advantageous.
  • Working knowledge of payroll systems (SAGE VIP, People Soft, Payspace, etc.).
  • Strong analytical and mathematical skills.
  • Excellent communication skills.
  • Ability to handle and prioritize multiple tasks, meeting all deadlines.
  • Commitment to maintaining confidentiality and exercising extreme discretion.
  • Exceptional attention to detail.
  • Proficiency in using MS Excel, including V-lookups, pivot tables, and graphs.
  • Knowledge of PaySpace is advantageous.
