Job Purpose
To manage the full payroll function for a staff complement of approximately 350 employees using SAGE 300 People, ensuring accurate, timely, and compliant payroll processing in accordance with company policies and statutory regulations.
Key Responsibilities
Payroll Operations
Handle the complete payroll process for xc2xb1350 employees using SAGE 300 People.
Process employee life cycle changes including new hires, terminations, and leave pay calculations (RPD).
Manage and update employee banking details, tax numbers, and directives.
Load and import various earnings (commissions, allowances, bonuses, increases) and deductions (loans, perks tax, medical aid, provident fund, etc.).
Conduct pre-pay run validations, including reviewing tax validation reports.
System & Data Management
Maintain accurate payroll data using SAGE 300 People and Microsoft Excel.
Utilize collaboration tools like Microsoft Teams for internal coordination.
Assist with the digital upload and management of employee files within SAGE 300 People.
Update and manage employee information in the ESS (Employee Self-Service) portal.
Third-Party and Benefits Administration
Administer and manage MIBCO online returns, including loading/terminating employees and updating commission/job titles.
Manage medical aid changes (Discovery, Bestmed), gap cover, and retirement fund administration.
Liaise with external parties such as medical aid providers, provident fund administrators, and the Department of Labour.
Ensure accurate and timely updates on digital platforms such as the Sanlam SC Portal and provide related monthly reports
Reporting & Reconciliation
Generate and distribute payroll reports and billings (BIM report) to Finance and relevant stakeholders.
Perform reconciliations for benefits providers, MIBCO, and salary-related accounts.
Submit all required month-end reports and ensure compliance with internal deadlines.
Maintain audit-ready files and assist auditors with required documentation and confirmations (e.g., UI19, Certificates of Service).
Compliance & HR Coordination
Support HR with onboarding, employee file management, and compliance documentation.
Draft maternity letters, confirmation of employment, and statutory UIF documentation.
Monitor and process family responsibility, sick leave, and paternity leave records in alignment with company policy.
Support to Payroll Manager
Create ACB payroll files for multiple locations.
Perform monthly checks on deductions, benefits, and leave policies.
Consolidate payroll data for finance-related summaries (e.g., EMP201, salary transfers).
Reconcile discrepancies, process backdated adjustments, and generate history leave reports.
Assist team members with post-payroll changes and validations.
Required Skills & Competencies
Proven experience in end-to-end payroll administration, preferably in a high-volume environment.
Proficiency in SAGE 300 People and advanced Microsoft Excel.
Strong organizational skills and attention to detail.
Working knowledge of MIBCO, statutory regulations, and payroll-related compliance.
Excellent communication and problem-solving skills.
