Operations Systems Specialist

About the Role
We are seeking a highly technical, systems-savvy Operations Systems Specialist to architect, optimize, and continuously improve the operational backbone of our organization. This role sits at the intersection of systems engineering, data operations, and business process automation. You'll own our core operational infrastructure--ensuring seamless system connectivity, building scalable automations, and delivering clean, actionable data that powers decision-making across every department.

Key Responsibilities
1. Systems Integration & Architecture
Design, configure, and maintain scalable integrations across the tech stack using Zoho Flow, APIs, and custom-built solutions.
Build a unified operating ecosystem connecting tools such as G-Suite, HubSpot, QuickBooks, Ramp, Slack, Monday.com, and Rippling.
Ensure high reliability, data accuracy, and low-latency system communication.
2. Workflow Automation & Process Optimization
Audit operational workflows across sales, finance, HR, engineering, and project delivery.
Identify inefficiencies and re-engineer processes to increase throughput and reduce operational friction.
Deploy end-to-end automations that eliminate manual tasks and improve cross-functional alignment.
3. Data Engineering, Analytics & Dashboarding
Architect datasets, pipelines, and reporting structure inside Zoho Analytics.
Build dashboards and KPI frameworks that provide real-time visibility into performance.
Deliver analytical insights to leadership to support forecasting, capacity planning, and strategic decision-making.
4. Platform Administration & Continuous Improvement
Serve as the internal expert and primary administrator for the Zoho ecosystem (CRM, Creator, Analytics, Flow, Books, etc.).
Conduct recurring system evaluations to improve scalability, data hygiene, automation coverage, and system performance.
Proactively recommend and implement enhancements to support company growth.
5. Troubleshooting, QA, & Support
Act as escalation point for complex system issues, workflow failures, and integration breakdowns.
Diagnose root causes and implement permanent, long-term solutions.
Maintain strong QA standards for all automations, pipelines, and system changes.
6. Documentation & Training
Build and maintain detailed documentation for systems, workflows, architecture diagrams, and SOPs.
Train team members on new tools, processes, and dashboards to ensure adoption and proper usage.
Required Skills & Qualifications
Experience
3-7+ years in systems analysis, business operations, RevOps/Ops, or technical system administration roles.
Demonstrated experience managing complex SaaS environments and building custom integrations.
Technical Expertise
Advanced proficiency in the Zoho ecosystem -- Zoho CRM, Flow, Analytics, Creator, Desk, etc.
Strong API knowledge, including authentication, data mapping, and error handling.
Experience with integration platforms and workflow automation tools.
Data & Reporting
Strong analytical foundation with experience in SQL, database design, BI dashboards, and KPI modeling.
Ability to transform raw operational data into insights and strategic recommendations.
Soft Skills
Exceptionally strong problem-solving and diagnostic skills.
High attention to detail and ability to translate technical concepts for non-technical audiences.
Excellent communication and documentation abilities.
Education
Bachelor's degree in Computer Science, Information Systems, Engineering, Data Analytics, or comparable experience.
Preferred Qualifications
Zoho certifications (CRM, Analytics, Flow, Creator).
Experience working within Agile or structured project management environments.
Familiarity with compliance standards across finance (QuickBooks, Ramp) and HR systems (Rippling).
Experience building scalable system architectures for rapidly growing teams.
