The Operations Manager is accountable for the operational and financial performance of the practice, with a clear mandate to increase profitability and turnover. The role ensures disciplined day-to-day operations through the implementation and enforcement of SOPs, effective use of data, and continuous performance monitoring.
The Operations Manager produces regular management reports, uses data to drive improvements across workflows and service delivery, and leads staff through clear objectives, performance management, and structured appraisals to ensure consistent operational excellence.
RESPONSIBILITIES
1) Practice Performance, Turnover & Profitability
Take direct accountability for improving practice profitability and turnover through strong operational control, efficient systems, and effective resource utilisation.
Analyse operational and financial data to identify trends, inefficiencies, risks, and opportunities for improvement across the practice.
Maximise practitioner productivity by ensuring operational bottlenecks are identified and eliminated.
Monitor staff productivity and service delivery standards, ensuring a consistently professional, patient-centred experience.
Ensure appropriate medical aid benefit utilisation for patients through accurate administration, correct information capture, and claims support processes.
2) Day-To-Day Operations, Patient Flow & Service Delivery
Oversee the day-to-day operations of the practice, ensuring all functions operate efficiently, consistently, and in line with agreed standards.
Implement, maintain, and enforce comprehensive Standard Operating Procedures (SOPs) across all areas of the practice, including but not limited to bookings, walk-ins, document handling, patient flow, and complaint escalation.
Continuously review operational workflows using data and staff feedback to improve efficiency, reduce waiting times, and enhance the overall patient experience.
Proactively identify operational issues and implement corrective actions to prevent service disruption.
3) Leadership
Set clear performance objectives and KPIs aligned to MMC goals.
Monitor individual and team performance against agreed objectives using data, observation, and reporting.
Conduct formal performance appraisals, provide constructive feedback, and implement performance improvement plans where required.
4) Onboarding, Training & Development
Ensure structured induction programmes are implemented so new staff understand systems, SOPs, performance expectations, and service standards.
5) Reporting, Data Analysis & Management Information
Produce weekly and monthly operational and financial reports.
Use information to enable decision-making, drive operational improvements, and support profitability and performance objectives.
Present clear, actionable insights and recommendations based on data analysis.
Ensure strong governance and confidentiality practices and responsible handling of patient information at all times.
Lead and support quality improvement initiatives, ensuring lessons learned are translated into updated SOPs and improved practices.
7) Systems, Controls & Continuous Improvement
Drive a culture of continuous improvement by regularly reviewing systems, processes, and controls to improve efficiency, quality, and performance.
Identify and implement practical improvements to systems and workflows that support scalability and long-term sustainability of the practice.
CANDIDATE REQUIREMENTS
Minimum of 5 years' experience managing operations in a medical practice, clinic, or outpatient healthcare environment.
Relevant qualification in Healthcare Management, Business Management, Operations Management or Practice Management.
In-depth knowledge of medical billing, insurance claims procedures, and managing patient accounts.
Proficiency in practice management software and Microsoft Office / Google Workspace.
Strong leadership, organisational, and communication skills.
Strong administrative, reporting, and organisational skills.
Ability to prioritise, delegate, and work effectively under pressure.
Strong problem-solving and decision-making ability.
Ability to implement and maintain policies and procedures.
