The Airbnb Operations Manager (Administration) will be responsible for the day-to-day administrative coordination and operational backend of a growing portfolio of short-term rental properties. This role is ideal for someone with excellent organizational skills, strong digital competency, and a sharp eye for detail. You'll play a crucial part in keeping the business running smoothly behind the scenes while ensuring a seamless guest and host experience.
Key Responsibilities:
Administrative Operations
Manage scheduling of maintenance.
Maintain organized records of reservations, communications, maintenance tasks, and expenses.
Assist in the onboarding of new listings, including document collection, listing setup, and systems integration.
Guest & Team Communication
Support guest communication in relation to before, during, and after their stay via Airbnb, Hostfully, or other PMS tools.
Coordinate daily schedules and updates with housekeeping, maintenance, and support teams.
Escalate guest issues and coordinate resolutions with field ops and management.
Finance & Reporting
Track and input vendor invoices, receipts, and expenses into accounting systems or spreadsheets.
Generate monthly reports on occupancy, revenue, maintenance expenses, and reviews.
Support budgeting and tracking of supplies, inventory, and recurring services.
Systems & Software Management
Use platforms such as Airbnb, Booking.com, Hostfully, Google Sheets or Trello used to manage daily operations.
Keep calendars synced and updated across all channels.
Assist in automating tasks to improve efficiency using available tools.
Operational Support
Assist with on-site tasks such as key drop coordination, inventory checks, or quality control.
Liaise with cleaners, contractors, and inspectors for compliance and scheduling.
Assist with communications on matters escalated on Airbnb
Institute & effectively track claims on behalf of owners for guests damages
Required Skills & Experience:
2+ years in administration, operations, or property/hospitality management.
Strong knowledge of digital tools (Excel/Google Sheets, cloud storage, task managers , Breezway).
Excellent organizational and multitasking abilities.
Professional written and verbal communication skills.
Proactive mindset and ability to work independently.
Familiarity with Airbnb or PMS platforms (Hostfully, Lodgify, Hospitable, etc.) is a strong advantage.
Own vehicle and valid driver's license essential.
