We are looking for an

Office Manager

to take ownership of day-to-day operations and ensure the smooth running of our office and support functions. This role is central to keeping teams organized, aligned, and equipped to deliver excellent service. The ideal candidate is highly organized, proactive, and thrives in a fast-paced, tech-enabled environment, with a strong focus on operational excellence and team support.

Role purpose





The Office Manager ensures the smooth and efficient operation of the office by coordinating administrative activities, managing resources, and supporting staff and management. This role acts as the central point for all office functions, maintaining a productive, organized, and professional environment that enables employees to focus on their core responsibilities. The Office Manager is also responsible for implementing office policies, improving processes, and ensuring compliance with health, safety, and regulatory standards.

Key accountabilities and responsibilities of the role




Administration




Supervise daily office administration and coordinate a small support team. Oversee filing systems, record keeping, and document control. Manage office supplies, stationery, and procurement of resources. Liaise with vendors and service providers for administrative needs. Support compliance with audits and internal policies.

Facilities




Ensure the office environment is safe, clean, and well-maintained. Manage service providers (cleaning, security, maintenance contractors). Monitor and enforce health & safety standards. Coordinate minor renovations, repairs, or office layout changes. Track and control facilities budgets.

Staff Transport/Fleet coordination




Organize staff transport schedules, ensuring efficiency and reliability. Maintain accurate records of costs and recommend cost-saving initiatives.

Executive PA Support




Provide confidential PA assistance to owners and C-Level executives. Manage executive calendars, scheduling, and travel arrangements. Prepare reports, meeting minutes, and presentations as required. Handle sensitive correspondence with professionalism and discretion. Support leadership with project coordination and executive follow-up.



Knowledge, Skills and Experience required




Experience & Skills




2-4 years in administration, office operations, or PA/executive support. Exposure to facilities or transport/fleet coordination is an advantage. Proficient in MS Office (Word, Excel, Outlook, PowerPoint). Strong organizational and multitasking skills. You must reside in Cape Town region.

Highly professional and discreet in handling confidential information. Hands-on, proactive, and solutions-oriented. Excellent communication and stakeholder management skills. Reliable, structured, and detail-focused. Growth-oriented, eager to develop into a broader management role. Attention to Detail: + Thoroughness in maintaining existing processes.
+ Precision in implementing changes to avoid unintended consequences.
Leadership Skills + Capability to lead process improvement initiatives and ensure execution of initiatives.
+ Ability to influence without direct authority.

Education




Matric/Grade 12 Certificate with relevant tertiary education (advantageous) Relevant experience is a must
