Job Description


REQUIREMENTS

  • Matric, 5 years experience in Management would be non-negotiable
  • A bachelors degree or similar, or Project Management Diploma advantageous
  • MS Office proficiency & min 7 years work experience in a similar position.
  • Outstanding interpersonal and communication skills to successfully interact with CEO, Line Managers and Head of Teams
  • Effective self-management, teamwork & sound relationship building
  • Maintaining a professional image in all aspects of personal presentation and delivery
  • Attention to detail is pivotal & ability to work under pressure and meet deadlines
  • General office operations knowledge & understanding of an office operating model
  • Change management, strong decision-making skills
  • Report writing skills, excellent communication & organisational planning skills
DUTIES
  • Coordinating and managing office administration
  • Managing office expenses ensuring in line with allocated budget & reporting to CEO
  • Ensuring office systems are implemented and operational
  • Effective communication for office staff maintaining an inclusive office environment
  • Controlling of equipment procurement in line with IT
  • Planning of office events
  • Managing facility management vendors - cleaning, catering, suppliers, security services
  • Managing, maintaining, and reviewing the office insurance policies
  • Attending to employees queries regarding office management
  • Ensuring that all items are invoiced and paid within agreements
  • Assisting in the onboarding process of new hires
  • Ensuring policies & procedures are aligned to current office practices
  • Coordinating staff schedules and assigning employees accordingly
  • Responsible for the seating plan of all office-based employees
  • Assisting in identifying training needs within the team
  • Develop & implement policies & procedures in customer centricity
  • Following deadlines, providing appropriate resolution for tasks or deadlines not met
  • Managing and controlling stock monthly & managing the corporate budget
  • Controlling the SOP writing and development
  • Managing 7 cleaning staff & operations, controlling inventory list of cleaning equipment
  • Ensuring health and safety standards and practices are adhered to
  • Managing budget reports, record keeping, vendors, training reports, inventory and planning registers, stock control
  • Ad hoc projects relocation of premises and staff, office renovations, office events, planning logistics for sponsored events
  • Assisting the Development team with bid submissions and all arrangements required to ensure a smooth submission
Salary: R negotiable dependent on experience
