Office Manager and Tender Administrator (This is a vacant position)

Job Purpose
To manage the proficient day-to-day operations of the office, ensuring all administrative functions run smoothly and are well-organized. A primary focus is to ensure tenders are completed, that correct information is sent to various departments, and that all necessary documentation is up to date and tasks are being followed up on. This role involves significant communication with internal and external stakeholders.

A proven ability to work independently and lead with initiative.
Well-organized and excellent at planning complex tasks and workflows.
Excellent Written and well-spoken communication skills.
Honesty, integrity, & reliability.
Good time Management skills.
Computer literate (Proficiency in Microsoft Office 365 is a must).
Willing and able to work overtime as and when requested.
A valid driver's license would be a positive.
Key Responsibilities
Tender Administration: Oversee and manage the end-to-end tender process, ensuring timely completion and submission, and that the correct technical and administrative information is distributed to relevant departments.
Communication: Act as a key liaison, communicating with various clients, vendors, and institutions to ensure seamless flow of information.
Administrative Management: Ensure all office documentation is up to date and that follow-up tasks are actioned promptly and efficiently. Assist in all administrative projects.
Operational Support: Work closely with the Manager to ensure proficient day-to-day operations are well-run.
Financial Reporting: Provide working hours to the bookkeeper for payroll and accurate record-keeping.
Policy Implementation: Assist in implementing Company policy by communicating department objectives to the employees and ensuring that it is understood by all.
General Office Support: Ensure calls are answered, correctly and efficiently routed, and messages are delivered to the relevant staff. Follow up calls to be made to suppliers and various tenders that were delivered.
Qualifications/Skills
Matric (Grade 12).
N6 Diploma in Office Administration, Business Management, Supply Chain Management, or equivalent qualification.
Previous work experience in an office administration, project management, or tender coordination role is essential.
Excellent understanding of Microsoft Office 365.

07:30am-5:00pm
Friday
07:30am-2:00pm
