Role Purpose


To deliver a comprehensive, reliable, and service-oriented administrative and operational support function to the Executive Personal Assistant and broader team. This role ensures seamless day-to-day operations through effective coordination of equipment, system access, data accuracy, and stakeholder collaboration. The role is integral in supporting onboarding, enabling operational readiness, maintaining accurate records, and facilitating a smooth working environment for all staff by proactively resolving issues, managing equipment lifecycles, and upholding service excellence.



Requirements

Qualifications, Experience and Knowledge



Matric
1 - 2 Years relevant experience in administration advantage
Computer Literacy (MS Office Suite)



Duties & Responsibilities

General:





Perform an efficient and accurate administrative function.
Collaboration within the Team (between managers and teams for available equipment).
If no existing equipment to be redeployed, issue new equipment from the respective stock.
Onboarding of new starter process (profile creation, laptop setup and making sure system application accesses are applied for by the SM).
Collaboration with the IT Support team.


Administrative Responsibilities:



Attending to requests of faulty equipment, such as laptops, headsets, keyboard and mouse and liaising with IT to determine the problem and resolve the matter.
Where necessary to ensure replacement of faulty equipment. (This includes dealing with laptops, where screens are cracked accidentally, overheating and it's necessary to contact HP or DELL for repair under warranty.)
Attending to requests where, outside of office hours, when equipment is stolen and liaising with managers for laptop information and subsequent setup of either desktop or laptop equipment.
Ensure that the user reports the theft to the SAP and receives a Case number for the record.
JDE orders (payments and requisitions).
Ordering of PC and other equipment as and when required, after receiving budget approval from Senior Management.
Maintain adequate stock of hardware equipment (headsets, keyboard and mouse, backpacks etc.)
Logging of service desk Jira's for staff with issues, aircon, furniture, etc
Assist teams with meeting room bookings.

Data Capturing:





Thoroughly check client data in order to ensure accuracy of all client information.
Accurately entering and updating information into databases, spreadsheets, or other data management systems.
Ensure accurate data cleanup where necessary.
Ensuring data integrity by verifying and correcting data discrepancies.
Regularly updating and reviewing records to ensure they are current and accurate.
Conducting data quality checks to identify and rectify errors or inconsistencies.
Collaborating with team members to resolve discrepancies and improve data accuracy.
Creating and maintaining documentation related to data entry processes and procedures.
Recording any changes or updates made to the data for future reference.
Prioritizing tasks to meet deadlines and ensure timely completion of data entry projects.
Adhering to confidentiality and security protocols to ensure sensitive information is handled appropriately.
Identifying and resolving issues related to data entry or data discrepancies.
