Position Summary:



The Office & Executive Liaison serves as the central point of coordination between executive leadership, internal departments, and external stakeholders. This role combines high-level administrative support with office operations and strategic communication. The ideal candidate is proactive, detail-oriented, and skilled in managing priorities in a fast-paced environment.

Key Responsibilities:



Office management



Support office operations, including supplies, service providers/vendors coordination, arrange couriers and facility needs (incl officer cleaner). Handling incoming calls promptly and route them appropriately Manage meeting room bookings

Executive support



Manage executive calendars, appointments, and travel arrangements. Assist in the preparation of board meetings, minutes, and follow-ups. Monitor and prioritize incoming communications (emails, calls, messages) on behalf of the executive team.

Communication



Act as a liaison between executives and internal/external contacts, ensuring smooth and timely communication. Facilitate inputs to and from the department/company responsible for marketing and communications. Prepare and edit correspondence, reports, presentations, and other confidential documents. Coordinate meetings, events, and company-wide communications.

Document Management



Ensure effective document management and filing systems. Maintain professionalism and discretion with sensitive and confidential information.

Qualifications:



Bachelor's degree/Diploma in Business Administration, Communications, or a related field. 3+ years of experience in executive support, office administration, or similar roles. Exceptional written and verbal communication skills. Strong organizational and multitasking abilities. Proficient in Microsoft Office Suite and collaboration tools. Professional demeanor and a proactive approach to problem-solving.

Preferred Skills:



Experience working directly with senior leadership. Knowledge of office management procedures and systems. Ability to handle confidential information with discretion.
