Duties and Responsibilities:

As a Music Department Administrator, you will play a crucial role in ensuring the smooth operation of our music department. Your responsibilities will include:

  • Diary Management: Assisting the Director of Music with diary management and other secretarial functions.
  • Admin Support: Providing administrative support to all music staff while maintaining strong relations and communication.
  • Financial Record-keeping: Keeping records and managing spreadsheets for all student charges, including reconciling charge queries.
  • Payroll Management: Handling payroll submissions for all part-time music staff.
  • Event Assistance: Assisting with concert and staff functions to ensure successful events.
  • Resource Management: Managing music resources, including instruments, the music library, and department supplies.
  • Facility Maintenance: Logging maintenance calls and overseeing general building upkeep.
  • Invoice Processing: Processing supplier invoices and following up on payments.
Qualities and Skills:

  • Excellent Administration: You are an excellent administrator with strong people skills.
  • Attention to Detail: Your high level of attention to detail and strong organizational skills set you apart.
  • Tech-Savvy: You have strong computer skills, particularly in Microsoft Word, Excel, and Access.
  • Multitasking: You thrive in a fast-paced environment and can effectively manage multiple tasks and meet deadlines.
  • Communication: Your written and verbal communication skills are excellent.
Experience and Qualifications:

While a passion for music is essential, we also value the following qualifications and experience:
  • Education: Matric and another suitable qualification (an admin/secretarial qualification is advantageous).
  • Music Knowledge: An understanding of music in an educational environment would be a valuable asset.
Work Schedule:

Interested applicants must be able to work from 10:00 am to 6:00 pm with the understanding that, at times and under special circumstances, it may be necessary to work later.
