Job Description

Job Summary:

The Medical Laboratory System Specialist is responsible for the optimal functioning, maintenance, support, and continuous improvement of all information systems directly impacting medical laboratory operations, primarily the Laboratory Information Management System (LIMS) as well as all other company systems. This role ensures the accuracy, integrity, and security of patient data and laboratory results, facilitates seamless integration between laboratory instruments and IT systems, and ensures compliance with all relevant healthcare regulations and quality standards.

Key Responsibilities:

LIMS and Company Systems and Hardware Administration & Support

:

Serve as the primary expert for the Laboratory Information Management System (LIMS) and other integrated laboratory and company software. Perform LIMS configuration, master data management (e.g., test codes, result parameters, reference ranges, user permissions), and system customization to meet evolving laboratory needs. Provide first and second-tier technical support to laboratory staff for LIMS-related issues, including troubleshooting errors, data discrepancies, and workflow problems. Manage user accounts, roles, and security access. Set up and configure workstations, laptops, and other peripheral devices (printers, scanners, routers, etc.). Install and configure operating systems, software applications, and drivers according to specifications.

System Integration, Interfacing, Trouble Shooting and Support

: Configure and maintain interfaces between the LIMS and laboratory instruments Troubleshoot instrument connectivity and data transfer issues, ensuring accurate and timely result reporting. Collaborate with instrument vendors and internal IT team on new instrument integrations and interface development. Diagnose and resolve hardware and software issues (e.g., computer malfunctions, network connectivity problems, application errors). Provide technical support to users in person, over the phone, or via remote access. Respond to support requests and incident reports in a timely and efficient manner. Document troubleshooting steps, resolutions, and common issues for future reference. Optimise functions within the organisation by facilitating integration of systems

Data Management & Quality Assurance:

Monitor data integrity within the LIMS, identifying and resolving discrepancies. Assist in the development and implementation of quality control (QC) procedures related to LIMS data. Generate and analyze reports from the LIMS for operational, quality, and regulatory purposes. Ensure proper archiving and retention of laboratory data in accordance with regulatory requirements. Maintain an accurate inventory of IT assets, including hardware and software licenses. Keep detailed records and logs of repairs, fixes, and maintenance schedules.

Training & Documentation:

Develop and deliver training programs and materials for laboratory staff on LIMS functionalities, new features, and best practices. Create and maintain comprehensive documentation for LIMS configurations, workflows, troubleshooting guides, and standard operating procedures (SOPs). Provide orientation and guidance to users on how to operate new software and computer equipment. Educate staff on IT best practices, security awareness, and efficient system usage. Project Management & Improvement: Participate in or lead projects related to LIMS upgrades, new module implementations, or integration of new laboratory technologies or other software relating to the business. Collaborate with laboratory management to identify opportunities for process optimization and efficiency gains through system enhancements. Conduct system testing for new implementations or updates.

Compliance & Security:

Ensure all system configurations and operations comply with regulatory standards. Adhere to IT security policies to protect patient confidentiality and data integrity. Participate in audits related to laboratory information systems. Management of IT team
Requirements

Education: Bachelor's degree in Medical Laboratory Science, Health Informatics, Computer Science, Information Technology, or a related field. Experience: Minimum of 3-5 years of experience working with Laboratory Information Management Systems (LIMS) in a medical laboratory setting. Hands-on experience with configuration, troubleshooting, and support of a major LIMS Experience with laboratory instrument interfacing and connectivity. Technical Skills: In-depth knowledge of LIMS functionalities and architecture. Strong understanding of database concepts (e.g., SQL queries). Proficiency in troubleshooting software and hardware issues. Knowledge of network fundamentals as they relate to laboratory systems. Familiarity with scripting or programming languages (e.g., Python, R) for data analysis or automation is a plus. Soft Skills: Excellent analytical and problem-solving skills, with a keen eye for detail. Strong communication skills, both verbal and written, to effectively interact with laboratory staff, IT personnel, and vendors. Exceptional organizational and project management abilities. Ability to work independently and as part of a multidisciplinary team. Strong commitment to quality, patient safety, and data privacy. Patient and effective in providing user support and training.
