This role is the glue that holds the marketing and operations teams together. You'll be expected to manage, track, file, update, coordinate, request, distribute, communicate, and follow up--on a daily basis
Campaign & Project Coordination (Admin-Focused):
Build and maintain detailed CPA (Critical Path Analysis) plans for each seasonal campaign
Coordinate every step of the campaign execution process, across various departments and teams
Draft, update, and manage all templates and documents linked to marketing rollouts
Request and manage multiple quotes per project, and track spend down to the last cent
Work with multiple vendors, ensuring clear documentation and approval processes are followed
Ensure print deadlines are logged, monitored, and met--no exceptions
Maintain detailed asset and print lists for every store and every campaign
Collate, check, and process information from stores to ensure accuracy of material orders
Store Openings & Refurbishments (Precision Required)
Manage and monitor printing timelines and logistics for new and revamped store launches
Compile all required marketing assets, liaising closely with the visual merchandising team
Keep store checklists and inventory databases updated at all times
Coordinate packaging and distribution to ensure store readiness on launch day
Assist with estimating and tracking all printing and hardware costs per store
Ad Hoc Requests & Stock Management (High Admin Volume)
Process last-minute printing or hardware requests from stores--accurately and on time
Keep print and hardware asset lists updated constantly to reflect ad hoc changes
Manage branded stock levels, including issuing, invoicing, and replenishment
Coordinate dispatch and delivery of marketing stock across the store network
Finance & Admin (Core Function of the Role)
Handle full administrative support for finance workflows within the marketing team
Request supplier quotes, manage internal quote approvals, and generate purchase orders (POs)
Capture spend against project budgets and ensure alignment with internal GL codes
Monitor vendor registration and payment processes to ensure no delays
Education & Experience
Matric (Grade 12) required
Diploma in Marketing, Project Management or Administration preferred
Strong admin background is essential
Minimum 1-2 years in a marketing coordination or admin-heavy support role

Excellent document and database management
Strong written communication for professional correspondence
Deadline-driven with the ability to juggle multiple administrative tasks
