Manager - Luxury Retirement Village - Cape TownOperations Manager xe2x80x93 Retirement ComplexOur Client is a facility offering luxury sectional title retirement apartments, with a combination of luxurious senior living, personalised first class care, high-level security, well-appointed and spacious apartments, professional Health Care, as well as resident facilitiesThe Operations Team is headed by the Ops Manager, who in conjunction with the Catering, Health Care and Administration Departments, aims to promote the effective and efficient management of the day-to-day running of the facility. This means having a firm grasp of clientxe2x80x99s expectations and understanding individual requirements.ROLE AND RESPONSIBILITIESOperations managementManage the day-to-day operations.Ensure standard operating procedures are implemented and maintained.Liaise, coordinate and manage the relationship with contractors and suppliers.Ensure compliance with all regulatory and reporting requirements e.g., Older Persons Act, Occupational Health and Safety Act, Labour legislation etc.Coordinate all maintenance, grounds and gardens, cleaning, pest control, waste service requirements with the Management Team.Ensure that all equipment and relevant areas meet with the legal requirements and are maintained to the standards as prescribed by policy and the Environmental Health and Safety ActEnsure that appropriate communication systems are in place for residents and staff.Ensure that all appropriate emergency response systems, fire equipment, evacuation plans and emergency procedures are in place.Ensure that the necessary training courses are conducted.Arrange for regular Fire and Evacuation drills.Undertake corrective action for any reactive repairs and maintenance.Ensure all maintenance jobs are completed accurately and in a timely manner.Ensure resident activities are organised in line with organisational guidelines.Ensure the upkeep of common area facilities and gardens.Ensure residentsxe2x80x99 security and safety.Support resident wellbeing, through identifying and promoting social and wellness initiatives for residents.Liaise with the Catering Manager on meal requirements and function planning to ensure that food standards in terms of quality and hygiene are adhered to.Monitor the security procedures for efficiency.Meet regularly with the Site Manager of the security company to discuss problems and concerns.Attend monthly meetings with the Trustees of the Body Corporate.Financial managementProvide input on the following:o Income and expense budgetso Weekly and monthly financial reconciliationso Monthly management reportso Loss prevention strategieso Strengthening of overall business profitabilityResident relationshipWelcome and provide orientation for new residents.Enable and organise activities including social, transport, healthy living and safety matters.Maintain a high standard of conduct and work performance to promote our reputation with key internal and external stakeholders.Manage resident correspondence and complaints.Staff managementRecruit and co-ordinate the training of new staff.Ensure compliance with labour law requirements including equality in the workplace.Ensure that staff are supported and guided in terms of training as well as developmental needs.Undertake Staff Appraisals at least once a yearCommunicate and implement a Disciplinary and Grievance Procedure as well as a Disciplinary Code.Ensure consistent and fair treatment of all employeesRepresentation at the CCMA.Ensure compliance with all policies and procedures.Arrange for regular staff meetings.Ensure that staff are aware of health and safety regulations.Administer all forms of leave.Liaise with payroll on salary input.Healthcare ManagementConsult and meet with the Healthcare Manager weekly on medical issues.Ensure that monthly audits of systems are performed within the Healthcare WingMaintain a system of open communication with Healthcare Staff and any other role players.Sales and MarketingAlways maintain a sound business and inter-personal relationship with Sales AgentsEnsure that after sales service is carried out in accordance with the requirements of the new owner or residentOccasionally carry out sales and marketing responsibilities.Liaise with the sales manager on proposed new residents, any support issues which may affect the staff and residents on site.EXPERIENCEPrevious management experience in hospitality, facilities and operations managementProven Experience in delivery of quality customer service.Industry experience in the Aged Care Sector would be advantageous.Understanding of, and experience working under the Older Person Act would be advantageous.QUALIFICATION AND EDUCATION REQUIREMENTSGrade 12Relevant tertiary qualification in an appropriate discipline such as hospitality management would be an advantageStrong interpersonal skills.Strong communication skillsNumerical skillsActive listening skillsProblem solverLeaderManagement skillsFinancial managementCoordination skills.IT skills with knowledge of Word, Excel, PowerPoint, SharePoint etc.
