Job Description

A global logistics leader based in Johannesburg is seeking a Logistics and Admin Coordinator on a 6-month fixed-term contract to support business operations by accurately capturing and managing multimodal projects in the ERP system.
The role includes performing due diligence to ensure project validity and quality, overseeing projects from initiation to completion, and coordinating with business units and service providers to ensure financial commitments are met.
Key Responsibilities:
Review sales quotes & associated PnL to identify:

  • Which company entity will invoice customer
  • Legal entity to be invoiced
  • Confirm customer is LYC approved in the ERP
  • Project margin
  • Anticipated project volume
  • Customer invoice currency
  • Vendor invoice currencies
Manage each project in ERP:
  • Accurately & timeously setup the project in the ERP
  • Accurately & timeously capture truck details in the ERP
  • Use correct charge codes in ERP for costs and services
  • Review tracking reports for project completeness
  • Obtain PODs from Operator and undertake a validity check to ensure system tonnages and PODs align
  • Confirm vendor services rendered in order to issue the Settlement Proposals to Vendor
  • Manage documented audit support for charges outside of the Quote and PnL
  • Update and maintenance of share point dashboards and project folder
  • Prepare invoicing documentation pack as per Customer Matrix
  • Manage project claims in the business system
Reporting:
  • Undertake project margin analysis
  • Undertake project volume analysis
SHEQ:
  • Understand and adhere to the SHEQ Policy within logistics and administrative processes.
  • Ensure logistical and administrative documentation (e.g., shipping records, schedules) complies with SHEQ procedures and is properly controlled.
  • Report any SHEQ non-conformities in logistics operations to the Regional Commercial Manager.
  • Support SHEQ objectives by ensuring efficient and safe administrative support.
  • Participate in SHEQ training and cooperate with audits by providing relevant records.
Requirements:
  • Qualification in Finance or Logistics preferred
  • Process orientated with a good attention to detail with ability to work in fast changing environment;
  • Must be able to work under pressure and adhere to aggressive deadlines
  • Strong problem-solving skills
  • Strong MS Excel skills essential
  • Experience in freight forwarding beneficial
  • Experience with Navision and Qlikview beneficial;
  • Fluent in English (read/write/speak)
