To maximize parts sales and profitability for the dealership by providing exceptional customer service, supplying accurate parts information, and ensuring efficient parts availability to both external customers and the internal workshop. The Parts Sales Executive supports dealership operations by maintaining stock accuracy, processing transactions professionally, and upholding OEM standards to ensure customer satisfaction and repeat business.
Key Responsibilities Customer Service & Sales:
Assist walk-in, telephone, and online customers with parts enquiries and quotations.
Use VIN numbers, EPC systems, and OEM catalogues to identify correct parts.
Promote genuine parts, accessories, and value-added products in line with dealership targets.
Upsell complementary products to increase sales and enhance customer experience.
Build long-term customer relationships and maintain a strong client database.
Internal Workshop Support
Supply the workshop with the correct parts promptly to ensure efficient job flow.
Communicate with service advisors, technicians, and the workshop foreman to confirm requirements.
Follow up on back-ordered parts to avoid delays in workshop productivity.
Order Processing & Administration
Process invoices, quotations, credits, and internal job card parts issues accurately in the dealership DMS.
Maintain accurate customer and vehicle records according to dealership policies.
Follow up on all open quotes, outstanding payments, and special orders.
Stock Control & Management
Check stock levels and report shortages to the Branch Manager.
Participate in daily, monthly, and annual stock counts as required by dealership policies.
Ensure all parts are received, GRV'd, labelled, and binned correctly according to OEM standards.
Maintain cleanliness and organization of the parts department and front counter.
Supplier & Logistics Coordination
Order parts from OEM or approved suppliers within dealership guidelines.
Track incoming orders, verify deliveries, and communicate delays to customers or workshop.
Handle returns, warranty parts, and surcharges according to OEM procedures.
Compliance & Standards
Adhere to dealership standard operating procedures, financial controls, and OEM compliance requirements.
Uphold the dealership's professional image through excellent customer service and presentation.
Ensure health and safety standards are maintained in all parts handling activities.
