Purpose of the Job

The Junior HR Generalist will provide comprehensive support to the HR department and assist in various human resources functions including recruitment, onboarding, staff queries, payroll support, compliance with labour laws and policies. This role will require someone passionate about working in the non-profit sector and committed to supporting the mission and values of the organization.
Role and Responsibilities

Recruitment & Onboarding:
+ Assist HR Business Partners with recruitment administration
+ Schedule and conduct initial candidate screenings/interviews
+ Coordinate interview schedules with hiring managers.
+ Welcome and settle candidates
+ Conduct recruitment checks and references
+ Assist with new employee onboarding, including paperwork, orientations, and ensuring compliance with organizational policies.
+ Assist with offboarding, including paperwork and conducting exit interviews
+ Draft employment contracts
+ Keep a record of temporary contract termination dates
Training & Staff Initiatives:
+ Assist in organizing training sessions, workshops, and staff initiatives.
+ Maintain employee training records and ensure that WSP and ATR data is captured timeously.
+ Liaise with external providers to obtain quotes and organise logistics
+ Liaise with internal stakeholders to organise meeting room bookings, catering, I.T. for meetings, trainings, or initiatives
+ Engage with staff at internal events, serving as an ambassador for HR
HR Administration & Compliance:
+ - Maintain accurate employee records (both physical and digital), ensuring they are up-to-date and compliant with labour laws.
- Ensure compliance with all relevant South African labour laws, policies, and regulations.
- Assist with HR reporting and auditing processes.
- Act as Employment Equity coordinator, ensuring meetings are scheduled, logistics are coordinated and minutes are taken.
- Attend to general staff queries - face to face, telephonic, and electronic
- Manage staff recognition platforms
- Manage physical and electronic distribution of letters, payslips and relevant items to staff
- Take minutes during meetings
- Assist with general admin and ad hoc duties
Payroll Support:
+ Support Payroll & Benefits Officer with all administration of payroll and benefits.
+ Collect, verify and collate source documents for payroll
+ Manage leave records, escalations and leave queries for staff and managers
+ Assist various managers in the administration of rostering and overtime records, utilising Time & Attendance system
+ Maintain employee biographical information, ensuring that any changes or updates are recorded timeously
+ Update payroll records for new employees, promotions, and transfers
+ Perform calculations in respect of salaries, benefits, and wages as required
+ Complete and /or process important payroll documents e.g. provident withdrawal, maternity, UIF, etc.
+ Maintain reports on any payroll changes
+ Attend to payroll-related queries
+ Assist staff to complete payroll related forms and documents e.g. provident fund, change of banking
+ Assist in processing staff financial assistance applications in accordance with policies.
Other HR Support Functions:
+ Contribute to creating a positive and inclusive organizational culture.
+ Assist in preparing HR-related reports for management.
+ Take ownership of, organise, and execute on annual calendar of employee engagement activities
+ Act as HR representative in meetings and in IR matters
+ Log tickets for I.T., catering, or maintenance as required
+ Place orders for office consumables
+ Ensure documents are filed timeously and that the filing room is kept tidy and in good order
+ Organise documents for audits and host officials
+ Welcome guests to the HR office
Health and Safety:
+ Assist in implementing and monitoring workplace health and safety policies and protocols.
+ Support the HR Manager in conducting regular workplace safety checks.
+ Ensure employee wellness programs are promoted and supported.
Performance Management:
+ Support the implementation of performance management processes, including tracking probation reviews and annual appraisals.
+ Maintain performance review schedules and assist in coordinating feedback sessions.
+ Monitor and report on employee performance issues, ensuring compliance with organizational policies.
Qualifications and Education Requirements

Minimum 1-2 years of experience in a Junior HR Generalist role.
Degree in Human Resources / Industrial Psychology
Basic knowledge of South African labour laws and HR processes.
Strong communication and interpersonal skills.
High level of attention to detail and organizational skills.
Ability to handle sensitive information with confidentiality and discretion.
Passion for working in a non-profit environment and contributing to social causes.
Preferred Skills

Familiarity with HR software and systems.
Experience in the non-profit sector, particularly working with diverse teams.
Knowledge of payroll systems and administration
