The IT & Media Administrator Role is a position that plays a vital role in supporting the successful delivery of projects by providing structure, coordination, and administrative oversight. In a fast-paced IT and Media environment, the role ensures seamless communication between stakeholders, maintains accurate project documentation, tracks progress against timelines, and helps mitigate risks. By keeping projects organized and on track, the IT & Media Administrator enables Creative and Technical Teams to focus on execution and client delivery.
Key Performance Areas
(Any experience in below KPA will be advantageous)
Project Coordination
Assist in planning, scheduling, and tracking project timelines, deliverables.
Maintain project documentation, reports, and status updates.
Liaise between creative, technical, and client-facing teams to ensure alignment.
Administrative Support
Organize and maintain digital filing systems, databases, and shared drives.
Prepare presentations, documents, and reports for internal and client use.
Assist with procurement processes, vendor communications, and supplier contracts.
Preparing Customer Quotes based on Customer requirements.
Coordinate logistics, where applicable.
Operational Efficiency
Maintain project management tools (e.g., Monday.com, Trello, Asana, Jira).
Ensure compliance with company policies and industry standards.
Contribute to internal knowledge management and best practice documentation.
Qualifications, Experience & Technical Skills
Diploma in Business Administration, Media, or related field (preferred).
2-4 years of experience in a project coordination, admin, or operations role (preferably in Media, Tech, or Creative industries).
Familiarity with media workflows, digital content, or technology project cycles is an advantage.
Tech-savvy, with proficiency in Microsoft 365 / Google Workspace, project management platforms, and collaboration tools (Monday.com, Slack, Teams, Zoom, etc.).
Driver's license and own transport essential.
Key Performance Indicators (KPIs)
Accuracy and timeliness of project tracking.
On-time delivery of project milestones.
Internal stakeholder satisfaction (measured via feedback).
Efficiency of administrative processes and reduction of bottlenecks.
Contribution to continuous improvement initiatives.

Passion for the IT & Media Industry.
Strong organizational and time management skills, and multitasking ability.
Must be able to work under pressure and adapt in a fast-moving media & tech environment.
Excellent attention to detail, with the ability to produce accurate results within prescribed deadlines.
