Are you detail-oriented, customer-focused, and experienced in order processing?

My client is seeking a dynamic and organized Invoice Specialist to join their team and play a key role in ensuring seamless order fulfillment and customer satisfaction.

This position is based in Midrand, Gauteng.

Responsibilities:

  • Order Processing:
  • Receive and process customer orders accurately and efficiently using the company's order processing system.
  • Ensure orders are processed within the agreed timeframe and customer service level agreements (SLAs).
  • Confirm order details with customers, including product codes, prices, and delivery dates.
  • Communication and Coordination:
  • Liaise with the logistics and warehouse teams to ensure timely and accurate order fulfillment.
  • Handle customer orders via phone, email, and Customer Portals, resolving pricing and quantity discrepancies promptly.
  • Coordinate with other departments to ensure smooth and efficient order processing and delivery to customers.
  • Customer Interaction:
  • Monitor order status and update customers on any delays or issues, maintaining proactive communication.
  • Work closely with the sales team to resolve order-related complaints or issues promptly and effectively.
  • Provide information and support to the sales team as needed.
  • Documentation and Record Keeping:
  • Ensure all required documentation, such as purchase orders and invoices, are accurate and complete.
  • Maintain customer records and update the database to ensure accurate and up-to-date information.
  • Continuous Improvement:
  • Continuously review and improve order processing procedures to enhance customer satisfaction and improve efficiency.
  • Track and report customer feedback to management and other relevant departments to contribute to overall improvement.
  • Issue Resolution:
  • Manage and resolve customer orders and invoice complaints efficiently through the appropriate channels.
  • Assist with other duties as required by management.
Qualifications and Experience needed:
  • Completed Matric or relevant finance qualification
  • 3 years experience within the same role
  • FMCG industry is preferred
