Role Summary
We are seeking a highly organized, empathetic, and detail-oriented Intake Specialist to serve as the first point of contact for new client families. This role is ideal for someone who thrives in a fast-paced, people-centered environment and is passionate about helping families access quality care for their children with Autism.
You will play a key role in coordinating new client intakes, managing documentation, and ensuring a seamless onboarding experience for families. Prior experience in healthcare, behavioral health, or administrative intake processes is highly valued.
Key Responsibilities
Serve as the main point of contact for new client inquiries and referrals
Gather and verify client information, insurance details, and documentation
Schedule assessments, evaluations, and initial consultations
Coordinate with the Clinical Director, therapists, and administrative team to ensure smooth onboarding
Maintain accurate client records in compliance with HIPAA and internal policies
Communicate professionally and compassionately with families to guide them through the intake process
Track and follow up on pending documentation, authorizations, or scheduling needs
Support cross-department communication to ensure timely case activation
Requirements
2+ years of experience in intake coordination, client services, or healthcare administration
Excellent communication and interpersonal skills, with a compassionate and professional demeanor
Strong attention to detail and organizational skills
Comfortable handling sensitive and confidential information
Ability to work independently during the 3 PM 11 PM shift
Proficient in Google Workspace, Zoom, and CRM or EMR systems
Reliable internet connection and personal computer
Preferred Qualifications
Experience working in ABA therapy, behavioral health, or healthcare intake
Familiarity with insurance verification and medical documentation
Prior remote work experience in a clinical or administrative support setting
