Job Description


RPO Recruitment's client is seeking an experienced Imports And Exports Controller within the Chemical industry based in Germiston, Gauteng.

Responsibilities:

  • Liaise with imports and exports customers and suppliers, inspection companies, planning, finance, warehouse, customers, line manager, internal department, freight forwarders and shipping companies
  • Ensure full support to nominated distributors in neighbouring states
  • Coordinate urgent deliveries via Distribution
  • Supervise the inspection and or loading of containers
  • Ensure monthly targets are met and exceeded
  • Build relationships with new and existing clients with constant communication
  • Follow up on payment of accounts and ensure financial controls are being adhered to
  • Ensure bank and SARS clearance formalities are met
  • Presentation of papers to bank
  • Ensure company complies with all laws, orders and regulations from any government in the territories exports to
  • Ensure all exports adhere to hazardous restrictions and documentation is handed over to suppliers
  • General administration: typing, filling, faxing, departmental duties, reports, graphs etc.
  • Preparation and submission of Quotations
  • Check stock availability and update tracker
  • Run weekly exports meeting with planning team xe2x80x93 present and discuss the status of all open nondelivered export orders
  • Preparation of exports documentation, including all documents related to Bill of Lading and Letters of Credit
  • Prepare and follow up on quotes
  • Provide Customers with all documentation required such as data sheets, MSDs product info, COAxe2x80x99s and other quality information
  • Processing orders
  • Ensure all invoices are processed before cut-off
  • Provide internal and external customers with constant feedback on the progress of their PFIxe2x80x99s, orders, freight estimates and deliveries
  • Initiate the opening of customer accounts
  • Ensure accurate and timeous submission of reports
  • Receive, process and invoice credit note and returns
  • Supply Invoice allocations for inbound and outbound freight invoices
  • Master Data maintenance
  • Support the EDI process xe2x80x93 run error reports, investigate and assist with resolution
  • Monitor incomplete delivery status and alert freight provider of the same
  • Analyse changing material demand patterns
  • Interface with vendors and forecast material integrity
  • Track and improve vendor performance
  • Analyse SAP generated forecasts on reasonableness, accuracy and communicate discrepancies to the business
  • Process customer order enquiries, schedule changes and cancellations
  • Determine, research and correct material inventory discrepancy causes
  • Ensure the steady flow of materials necessary for operating a manufacturing line
  • Ensure therexe2x80x99s adequate supply of inventory without over-ordering or wasting resources
  • Monitor materials flow to identify bottlenecks, forecast problems and suggest improvements
  • Process customer shipment inquiries or complaints and schedule changes or cancellations for shipment orders
  • Coordinate supplier payments with the account payable department
  • Track production volume and monitor customer demand patterns and purchasing trends
  • Preparing cost estimates and performance reports
  • Negotiate with current vendors or seek out new vendors that can offer lower prices without compromising quality
  • Support management with risk assessments and mitigation activities on supply risks
Requirements:
  • Tertiary qualification xe2x80x93 Bachelorxe2x80x99s Degree in Supply Chain Management
  • 3- 4 yearsxe2x80x99 experience in Planning and shipping
  • Computer literate- MS Office with advanced excel skills
  • Familiarity with Insurance and incoterms
  • Extensive knowledge of SARS requirement, Letters of credit, and Bills of lading
  • 3 to 5 yearsxe2x80x99 experience in an export position with exports into Africa would be highly advantageous
  • Excellent interpersonal communication skills to communicate with internal and external customers
  • Good telephone manners and sound planning skills
  • Knowledge of ERP system SAP is not negotiable - Experience in MRP II (Manufacturing resource planning)
  • Ability to work independently and after-hours when necessary
  • Systematic, logical, and analytical approach, meticulous attention to details
  • Experience in Companies/Groups with (global/international) matrix organization
  • APICS, Certification or equivalent (Preferred)
