Job Description


New Engagements:

  • Drafting contracts and sending it for signature
  • Initiating onboarding process on 4flow
  • Performing induction with new starters
  • Download new starter documents from 4flow, check profile and approve in order for it to post to SAGE
  • Ensure that new starter information has posted correctly to SAGE, edit where necessary.
  • Creating ESS access and sending login details to new starters
  • Load pics on new starter SAGE profiles
  • Check, sign and submit medical aid applications for new starters
  • Send email for new starter email signatures to be created and set up
  • Create and send out new starter mailer to the agency
  • Send out probation calendar reminders and end of contract reminders to managers of new starters
Staff Movements:
  • Drafting letters for all staff movements i.e promotions, salary increases, team changes and sending for signature
  • Ensure we get signed letters back for record keeping purposes
  • Action provident fund adjustments on ROL that are linked to the promotion or salary increase
  • Ensure retainers and seat numbers are updated on SAGE that are linked to promotions or team changes
Payroll:
  • Managing probation periods:
  • Checking with line managers whether staff members have passed probation or if it needs to be extended
  • Drafting letters to notify staff they have passed probation successfully or that probation has been extended
  • Setting up a new enrolment provident fund session with the broker for those who passed probation
  • Sending provident fund enrolment forms to staff
  • Loading new enrolments to ROL i.e Sanlam provident fund portal
Medical aid updates:
  • Keeping track of all medical changes ito dependent removal, adding dependents, plan changes, cancelling vitality.
  • Ensuring we get updated membership certificates from broker to reflect changes
  • Medical aid billing checks every month
  • Resolving queries with broker
  • Sending comms to staff re increases, added benefits e.g Wealth Fund
Maternity/Parental leave:
  • Completing maternity leave calculations and sending to finance for approval
  • Preparing UIF documents
  • Drafting workback agreements
  • Ensuring correct information is on payroll sheet for the relevant months
Staff loans:
  • Drafting loan agreement
  • Send signed agreement to finance with payment instruction
  • Ensure information is captured on payroll sheet for deductions
Parking:
  • Ensuring parking deductions reflect on payroll sheet
  • Ensure parking access is revoked when staff leave
Resignations:
  • Ensure we have signed resignations letters
  • Notify broker of resignations for the month
  • Send provident fund withdrawal forms to those who resigned
  • Action terminations on ROL portal and SAGE
  • Submit provident fund instruction forms to Sanlam
  • Update terminations on Sage for future terminations
  • Pull leave reports for leavers from workbook
  • Conducting exit interviews
End of contracts:
  • Contact line manager to find out if contract will be extended or not
  • Send updated contracts to relevant staff member
  • 4 Years experience in HR generalist
  • HR Degree
  • HR certification
Other:
  • Assisting with leave queries
  • Assisting with Monthly Resource Meeting updates
  • ESS queries
  • Payroll queries
  • Creating mock payslips as requested by recruiters
  • Stats SA reporting
  • Handling death claims
Health and Safety:
  • Active H&S officer for the company
  • Book training for health and safety committee
  • Attending OHS meetings
  • Performing OHS walks/checks on a monthly basis and submit finding reports after the walk has been completed
  • Handling IOD claims
Employee Relations:
  • Advising line managers as and when required
  • Drafting and issuing of notice to attend
  • Drafting and issuing of warnings
  • HC representative in hearings
  • Advising line managers on probation performance review process
General:
  • Updating forms on MS teams channel for any staff movements
  • Keeping tasks up to date, mark off when completed on teams
  • Training administration
  • Completes additional tasks as required by HC consultant
  • Lead and mentor HC Graduate
  • Projects that are assigned xe2x80x93 induction presentation, welcome pack
  • Assist with arranging wellness initiatives
  • Keeping trackers updated xe2x80x93 probation, FTC, retirement, WBA -maternity
  • Assisting with BEE verifications
  • Assisting with EE report and other statutory reporting
